Finance & Administration Manager

Position Summary-Reports to Executive Director/General Manager

The Finance & Administration Manager is responsible for the financial, administrative, human resources, purchasing, vendor management, insurance, and compliance functions of the resort. This position provides works with the Executive Director/General Manager to ensure appropriate leadership and oversight of business operations to ensure the efficient administration of the campground, waterpark, condominium, resort, and amenities. The Finance & Administration Manager supports the Executive Director/General Manager and Board of Directors by maintaining sound financial practices, accurate records, regulatory compliance, and effective administrative systems.

Essential Responsibilities

Financial Management:

  • Assist in the preparation and administration of annual operating and capital budgets.
  • Monitor revenues, expenditures, and budget performance throughout the fiscal year.
  • Prepare monthly financial reports and supporting documentation.
  • Maintain accurate financial records and internal controls.
  • Coordinate accounts payable and accounts receivable functions.
  • Reconcile bank accounts and financial statements.
  • Monitor cash flow and reserve fund activity.
  • Assist with annual audits and financial reviews.
  • Coordinate with accountants, auditors, and financial consultants.

Human Resources Administration:

  • Coordinate employee recruitment, onboarding, and personnel documentation.
  • Maintain personnel files and employment records.
  • Administer payroll and employee benefit programs.
  • Ensure compliance with employment laws and regulations.
  • Assist management with employee relations matters.
  • Coordinate seasonal hiring processes.
  • Track employee certifications, licenses, and required training.
  • Maintain employee handbook and personnel policies.

Vendor Procurement & Contract Administration:

  • Coordinate vendor procurement activities and bid processes.
  • Obtain and maintain vendor insurance certificates.
  • Manage service agreements, contracts, and renewals.
  • Maintain approved vendor records.
  • Coordinate purchasing activities and monitor expenditures.
  • Ensure procurement policies and purchasing procedures are followed.
  • Assist management in evaluating vendor performance and contract compliance.

Insurance & Risk Management Administration:

  • Serve as the primary administrative contact for insurance matters.
  • Coordinate insurance renewals and policy documentation.
  • Maintain records of claims, incidents, and insurance correspondence.
  • Assist with workers' compensation claims administration.
  • Track incident reports and maintain claim files.
  • Support organizational risk management initiatives.
  • Maintain compliance documentation related to insurance requirements.

Administrative Operations:

  • Oversee office operations and administrative procedures.
  • Maintain official organizational records and files.
  • Ensure proper retention of financial and administrative records.
  • Coordinate administrative support functions.
  • Assist with preparation of Board meeting materials and reports.
  • Maintain contracts, permits, licenses, and regulatory filings.
  • Develop and maintain administrative systems that support efficient operations.

Compliance & Regulatory Administration:

  • Maintain records necessary for regulatory compliance.
  • Track permit, license, and certification renewal dates.
  • Assist with OSHA recordkeeping and administrative compliance requirements.
  • Coordinate reporting requirements for regulatory agencies.
  • Maintain safety training records and compliance documentation.
  • Assist with implementation of organizational policies and procedures.

Member, Guest & Vendor Relations:

  • Respond to financial and administrative inquiries from members and guests.
  • Serve as a liaison with vendors, service providers, and consultants.
  • Maintain professional relationships with financial institutions, insurance providers, and regulatory agencies.
  • Provide administrative support to management and Board initiatives.

Organizational Support:

  • Provide administrative and financial support to the General Manager.
  • Assist in the development of operational procedures and organizational improvements.
  • Participate in strategic planning and budgeting discussions.
  • Support seasonal department managers with purchasing, payroll, and administrative needs.
  • Recommend process improvements that enhance efficiency and accountability.

Authority:

The Finance & Administration Manager has authority to administer financial and administrative operations, supervise administrative personnel and seasonal management, coordinate purchasing and vendor activities, approve expenditures within the scope of the Procurement Policy, and implement financial and administrative procedures consistent with Board policies and General Manager direction.

Education & Experience:

Required:

  • Associate's degree in Accounting, Business Administration, Finance, Human Resources, Public Administration, or a related field.
  • Minimum three (3) years of responsible financial, administrative, accounting, payroll, or office management experience.
  • Experience with budgeting, payroll processing, purchasing, and financial recordkeeping.
  • Proficiency in Microsoft Office, Quickbooks and financial software systems.

Preferred:

  • Bachelor's degree in Accounting, Business Administration, Finance, Human Resources, Public Administration, or a related field.
  • Experience in campground, resort, hospitality, condominium association, municipal government, nonprofit, or recreational facility administration.
  • Experience with insurance administration, procurement, contract management, and human resources.
  • Professional certifications in accounting, human resources, finance, or business administration.

This position becomes the administrative backbone of the organization, handling the business, financial, HR, procurement, insurance, and compliance functions so that the Executive Director/General Manager can focus on leadership and strategy and the Facilities Manager can focus on operations and infrastructure.

Compensation:

  • Annual Salary $70,000 to $85,000 commensurate to education and experience
  • Monthly health insurance stipend

Pay: $65,000.00 - $75,000.00 per year
