Job Title: Payroll Processor (Non-Exempt)

Job Summary
The Payroll Processor is responsible for accurately processing payroll for two companies using Paycom while ensuring compliance with federal, state, and local regulations. This non-exempt position supports payroll operations including time and attendance, benefit deductions, retirement contributions, housing deductions, reporting, internal audits, and HR onboarding support. A high level of accuracy, confidentiality, and collaboration is required.
This position reports directly to the Human Resources Director.
Essential Duties and Responsibilities
- Process multi-company payroll through Paycom, ensuring accurate calculation of wages, deductions, and taxes
- Review, audit, and approve timecards, PTO, and leave balances within Paycom Time & Attendance
- Maintain payroll-related employee records including new hires, terminations, pay changes, and deductions
- Track international employee housing arrangements and ensure accurate payroll deductions are applied
- Administer and reconcile housing and other employee-specific payroll deductions
- Prepare and transmit 401(k) contribution files to Fidelity and reconcile deductions and contributions
- Administer benefit-related payroll deductions and support benefit time tracking and accruals
- Complete quarterly and year-end payroll reporting and support tax filings as needed
- Monitor compliance with wage and hour laws, payroll regulations, and internal policies
- Conduct routine internal payroll audits to ensure accuracy, compliance, and data integrity
- Generate payroll, audit, and reconciliation reports using Paycom and Microsoft Excel
- Respond to employee payroll questions in a professional and timely manner
- Maintain strict confidentiality of payroll and employee information
- Assist the HR Department with onboarding activities, including system setup, payroll entry, and documentation coordination
- Provide additional administrative support to HR as needed
Qualifications
- Minimum of 5 years of payroll processing experience
- Demonstrated knowledge of federal and state payroll laws and regulations
- Experience processing payroll for multiple companies or employee groups
- Proficiency in Microsoft Excel for reporting, reconciliations, and data analysis
- Experience with payroll systems; Paycom experience strongly preferred
- Familiarity with benefit deductions, 401(k) processing, and retirement reporting (Fidelity a plus)
- Experience working with housing deductions and international employees preferred
- Strong attention to detail, organization, and ability to meet strict payroll deadlines
- Proven ability to handle confidential and sensitive information with discretion
