Job Overview
Harbor Truck & Trailer are seeking a detail-oriented Administrative Assistant to support daily office operations. This role is primarily remote with one scheduled in-office day per week. Familiarity with NAPA TRACS shop management software is preferred, but training can be provided for the right candidate.
Administrative & Operations Support
- Assist with day-to-day administrative tasks and office organization
- Prepare job information, documentation, and records for invoicing review
- Maintain accurate digital files, folders, and internal trackers
- Create, format, and update Word, PDF, and Excel documents
- Update customer, job, and service records across internal systems
- Update multiple social media pages across different platforms
- Be very familiar with QuickBooks online software
- Inventory parts and stock items on in-person days
Communication & Coordination
- Monitor and organize email inboxes
- Respond to routine customer and vendor inquiries using provided templates
- Flag urgent, financial, or time-sensitive items for management review
- Assist with scheduling, reminders, and confirmations
Systems & Workflow Support
- Update job notes, attach documents, and track job status in shop and service management systems (including NAPA TRACS)
- Ensure records are complete, accurate, and properly documented
- Support consistency across workflows and processes
Qualifications
- Strong organizational and time-management skills
- Excellent written and verbal communication
- Comfortable learning and using multiple software systems
- Experience with administrative or office support roles
- Familiarity with service-based or trade businesses is a plus
- Experience with shop management software (NAPA TRACS, Mitchell 1, etc.) is preferred but not required
- Reliable transportation for weekly in-office day
