The Controller is responsible for overseeing all financial activities within a commercial property management organization, ensuring accurate financial reporting, regulatory compliance, and operational efficiency. This role includes managing accounting functions, delivering essential financial insights, and supporting the Director of PM and Managing Partner. The Controller will collaborate closely with property management teams, property owners, and other stakeholders to facilitate the achievement of optimal financial performance across the company's managed portfolio.
Responsibilities:
- Supervise accounts payable, including both recurring and non-recurring payments
- Approve batches of recurring payables -Property manager now does
- Review every General Ledger (GL) each month for mistakes; reconcile bank statements monthly and make corrections identified by Property Managers(PM)
- Cash flow management for each property for taxes, insurance, expenses, and security deposits (minimum – check to see enough in the account before paying bill)
- Ensure distributions are done as agreed and/or budget approved; and record in General Ledger (GL)
- Calculate PM fees, project management fees, startup fees, and cut checks for them
- Cut checks for other bills
- Prepare for PM to distribute annual financial reports to owners and accountants (January)
- Pay all property taxes & send out 1099s; send out K1s and tax correspondence with landlords (January)
- Assist in developing and reviewing budgets (September) & input into Yardi
- Assist with CAM reconciliations (Dec - February) & input CAM rec amount & new monthly payments into Yardi
- Ensure all rent is posted and tenant ledgers are updated and accurate
- Oversee monthly, quarterly, and annual close processes for property portfolios
- Track and maintain security deposit escrow accounts, ensuring lease compliance and segregation of funds
Education:
Bachelor’s degree in Accounting, Finance, or related field. CPA or CMA designation preferred.
Experience:
Minimum of 3-5 years of accounting experience within commercial property management, real estate, or a related industry.
Skills:
- Strong understanding of GAAP and financial reporting in the context of property management.
- Proficiency in accounting software (Yardi preferred) and advanced Excel skills.
- Solid understanding of commercial lease structures, tenant billing, and operating expenses.
- Strong leadership, communication, and interpersonal skills, with the ability to collaborate across teams.
- Experience managing property-specific budgets, cash flow, and capital expenditures.
- Ability to work under tight deadlines and manage multiple priorities in a fast-paced environment.
Working Conditions:
- Primarily office-based with occasional site visits to properties as needed.
- May require additional hours at month-end or year-end.
- Ability to handle confidential information with integrity.
