This position has a start date of July 15th.General ResponsibilitiesServes as the primary individual for connecting and communicating with families, students, school staff, and larger community. Helps maintain program data management. The Student & Family Services Specialist provides administrative support to the preschool program by providing assistance in the implementation of the details and duties designed to carry out the goals and objectives of the program. The Student & Family Services Specialist is responsible for the oversight of family goals and family and community engagement activities. The Student & Family Services Specialist also helps to support child health and safety, mental health, child development, and education. The Student & Family Services Specialist functions as a member of the program management team and is responsible for ensuring the implementation of the federal Head Start Performance Standards.Essential Duties(These are intended only as illustrations of the various types of work performed. The omission of specific duties does not exclude them from the position if the work is similar or is a logical assignment for the position.)Serves as a collaborative and active member of the preschool management team.Responsible for connecting families to resources based on their family goals. Supports other members of the program management team with tracking and documentation of family goals.Supports management, integration, documentation, and provisions of services to preschool families in the context of Eligibility, Recruitment, Selection, Enrollment, and Attendance (ERSEA) for the preschool program.Supports student’s academic progress as well as regular attendance at the direction of the Preschool Coordinator and provides requested information to the Preschool Coordinator and Preschool Management Team.Supports health assessments and health needs of students through observation, screenings, and referral procedures.Responsible for assisting families with accessing external resources and scheduling of appointments (medical, financial, family services, etc.), and speaking with agencies to research resources available.Coordinates nutrition services for preschool program with HCPS Director of Food Services, HCPS Registered Dietician, and HCPS Coordinator of Health Services/Registered Nurses. Assists with monthly Child and Adult Care Food Program (CACFP) reports by reviewing student attendance and student meal counts monthly.Performs classroom and playground safety inspections, provides reports to school staff and the Preschool Coordinator and maintains records of inspections.In collaboration with the Preschool Management Team, reviews and updates the Head Start Annual Report, Self-Assessment Report, Community Needs Assessment, Preschool handbook, and Program Information Report through various data collection tools.Plans, organizes, and leads Policy Council meetings, Parent Committees, as well as monthly Parent Events in schools and in the community. (Events may take place during school hours as well as in the evenings.)Work with schools to help coordinate preschool student activities during Family Nights.Collaborates with Preschool Coordinator in leading Parent Orientation sessions for families with students entering preschool.Work with families, administration, and teaching staff to transition preschool children to Kindergarten.Maintains accurate and timely child data for federal program information reporting with the ChildPlus computer program.Develops a working knowledge to ensure Hanover Preschool adheres to Head Start performance standards and procedures.Attends trainings, workshops, and other professional development opportunities to remain informed of current trends and information.Assist in overseeing Hanover Preschool’s Social Media & Website presence.Works to increase parent involvement in our preschool program, with emphasis on involvement from fathers.Maintains data filing systems and general office paperwork and procedures related to the preschool program.Creates if necessary and maintains program data management tools.Monitors and assists with child files on a regular schedule to ensure confidentiality and compliance with conferences, home visits, referrals, required activities, and required documentation.Performs other duties as assigned.

Knowledge, Skills, and AbilitiesProficiency in Microsoft & Google applications as well as other online presentation platforms. Knowledge and experience working with young children. Ability to plan, delegate responsibilities and execute program goals and objectives. Skilled in areas pertaining to a child’s health and development. Must be able to interpret and implement Federal regulations. Must have excellent organizational , oral, and written communication and supervisory skills.Education and ExperienceRequired: Bachelor's degree (minimum). Valid VA. Driver’s License. Experience working at a proficient level in Microsoft and Google applications.Preferred: Experience working in a professional setting with preschool students and staff. Degree in related field such as social work or human services.A comparable amount of training and experience may be substituted for the minimum qualifications.

PHYSICAL CONDITIONS: Must be able to effectively communicate and interact with other employees and the public through the use of the telephone and personal contact. Physical capability to effectively use and operate various items of office related equipment, such as, but not limited to a, personal computer, calculator, copier, and fax machine. Frequent travel to school sites, student homes and community agencies throughout the County is required. Work is typically performed in a school or community setting. Frequent sitting, walking, standing, and occasional lifting up to 50 pounds unassisted may be required as well as the ability to stoop, kneel, and crouch. This position may require reaching, pushing, pulling, lifting, grasping, and a variety of repetitive motions. Daily personal and close contact with students, parents and other staff members is required. Frequent contact with parents by phone and in person is necessary.
