GENERAL RESPONSIBILITIES: Performs a variety clerical duties; Maintains attendance records and works to create a pleasant atmosphere for students, staff, parents, and other visitors. Types forms, letters, minutes and reports. Utilizes word processing, spreadsheets and presentation software. Fields telephone calls, files and performs data entry. May assist with overflow work from office and administrative assistants. The omission of specific duties does not exclude them from the position if the work is similar, related, or a logical assignment to the position.)Ensures accuracy of attendance records, including verification of forgeries and truancies for the purpose of complying with District and State laws;Receives students at the attendance office, prepares and issues class tardy, early dismissal, and bus passes, and oversees the student “sign-in” and “sign-out” process;Enters tardies, early dismissals, and absences into computer on daily basis;Assists in answering buzzer at front door; Receives parents and guardians at the attendance office, verifying identification, for excused tardies or early dismissals;Updates attendance information as notified by counselors, administration, and staff;Responds to inquiries from students, staff, and parents regarding absences;Communicates with parents, students, and staff in person, by phone, walkie-talkie, or email on a variety of attendance issues;Maintains awareness of events and classroom locations during the school day that affect student attendance;Prepares a variety of reports and written materials (passes, sign in and sign out sheets, telephone logs, etc.);Maintains confidential files for each student that include parent and doctor notes;Prepares student files at beginning of year and follows State guidelines for written records retention at the end of the school yearAssists other support personnel as required;Performs related work as assigned.

KNOWLEDGE, SKILLS AND ABILITIES: Ability to work under pressure and make decisions in accordance with laws, ordinances, regulations, and established procedures. Ability to establish and maintain effective working relationships with public, government officials, and other county employees. Ability to remain organized and manage a fast paced environment. Working skills in relevant software applications, i.e. Microsoft office, google, etc. Knowledge of State and District procedures, rules, and regulations pertaining to school attendance accounting and record keeping. Knowledge of proper English usage, grammar, spelling, and punctuation. Ability to communicate effectively orally and in writing. Ability to independently compile data and prepare attendance reports. Thorough knowledge of standard office practices, procedures, equipment and clerical techniques; Ability to: make difficult arithmetic calculations, set up complex forms and statistical tables; type and transcribe accurately; establish and maintain effective working relationships with employees and general public. EDUCATION AND EXPERIENCE: Required: High school diploma or GED. At least 2 years office experience and/or secretarial training.

PHYSICAL CONDITIONS: Must have the use of sensory skills in order to effectively communicate and interact with other employees and the public through the use of the telephone and personal contact. Regular contacts are made with individuals from other internal departments, outside organizations, and/or the general public for purposes of exchanging information which may require some judgment or interpretation. Conducts work in a sitting position; however, job requires frequent standing, walking, bending, stooping and light lifting of up to 20 lbs. unassisted.
