Job Title: Title Supervisor – Portfolio Servicing

Position Overview
We are seeking a proactive, detail-oriented Title Supervisor to oversee our portfolio servicing title operations. This role focuses on ensuring that all titles for the portfolios we service are received, processed, released, and updated accurately and on time.
The Title Supervisor will lead, organize, and support a small team of 4–5 employees, ensuring the team operates efficiently and maintains high accuracy.
Additionally, the Title Supervisor is expected to become a commissioned Notary Public to assist with notarization requirements for title documentation as needed.
Key Responsibilities
Operational Oversight
- Ensure all incoming titles for serviced portfolios are received, checked in, logged, and tracked in a timely manner.
- Oversee the release of titles upon payoff, ensuring documents are sent out promptly and accurately.
- Ensure title modification requests—such as state transfers, name changes, and corrections—are processed and sent to the appropriate DMVs promptly.
- Maintain full visibility into the team’s workload and ensure tasks are prioritized effectively.
Team Leadership
- Supervise and support a team of 4–5 title processors handling day-to-day work.
- Provide coaching, motivation, and guidance to help the team maintain accuracy, efficiency, and positive morale.
- Create and manage the team’s daily/weekly schedules, assign tasks, and ensure coverage for critical responsibilities.
- Jump in to assist the team when needed and model a hands-on, supportive leadership style.
Process & Quality
- Ensure the team’s work and documentation remain highly organized and compliant with company and DMV requirements.
- Monitor performance, identify bottlenecks, and recommend improvements to workflows or procedures.
- Speak up when issues arise and offer thoughtful, well-reasoned solutions to improve processes and reduce errors.
- Coordinate and communicate effectively with other internal departments to resolve title-related questions or escalations.
Reporting & Tools
- Use Microsoft Office applications proficiently (Excel, Word, PowerPoint, Outlook) to manage reports, communications, and presentations.
- Maintain spreadsheets, logs, or trackers that support visibility and accountability within the team.
Qualifications
Required
- 2 years of experience in a supervisory, lead, or team-lead role overseeing other employees.
- Strong leadership skills with the ability to motivate, coach, and hold team members accountable.
- Proficient in Microsoft Office applications, especially Excel (filters, formulas, VLOOKUP, etc.), Word, and PowerPoint.
- Highly organized, structured, and reliable in managing both personal and team workflows.
- Strong communication skills with the ability to represent the team professionally across departments.
- Ability to identify problems, speak up confidently, and propose practical solutions.
- Willingness and ability to become a commissioned Notary Public.
Preferred
- Title experience in environments such as:
- DMV
- Auto finance companies
- Credit unions or banks
- Dealerships or auctions
- Experience working with vehicle title processes, including releases, corrections, and transfers.
