Job Description: Office Assistant
General Purpose
Provide support to agency Team Members across the different programs, receive and process referrals, complete scheduling, and perform data entry for billing. Supply information regarding the organization to the general public, clients and customers. This position is highly important to support the team members and ensure they have the information and tools needed to do the job effectively.
Skills/Abilities/Other Qualifications Required:
- Knowledge of customer service and acceptance of Hand In Hand Mental Health Service’s philosophy concerning people served.
- Knowledge of and ability to interpret human behavior, and basic knowledge of effective behavior management techniques.
- Sound professional judgment, adequate to formulate realistic decisions regarding office and customer issues.
- Ability to communicate effectively, both verbally and in writing using English.
- Ability to relate effectively to others, including co-workers, agency participants, supervisors and community contacts.
- Thorough knowledge and acceptance of principles of customer service.
- Ability to type a minimum of 40-60 words per minute
- Computer literate: Confidence and competence in using a computer, mouse, email, internet searches, and navigating around programs & software.
- Proficiency in Microsoft Word and Microsoft Excel.

Main Job Tasks and Responsibilities
- Receive and process new referrals
- Create schedule with frequent changes and additions
- Communicate verbally, electronically and in writing
- Answer telephone, screen and direct calls
- Send and receive emails
- Perform data entry to track time for payroll
- Perform data entry to provide information for billing
- Assist in planning and coordinating special events at the Agency such as Agency Picnics, Annual Yard Sale Fundraiser, and Wellness Events.
- Receive and relay messages
- Provide information to callers
- Greet persons entering organization
- Direct persons to correct destination
- Answer queries from the public and customers
- Ensures knowledge of staff movements in and out of organization
- General administrative and clerical support
- Use of office machines—copier, fax, computers, emails, printers
- Prepare letters and documents
- Receive and sort mail and deliveries
- Organize meetings and document minutes from the meetings
- Tidy and maintain the office area
- Communicates to supervisors, co-workers, clients, and outside agencies.
- Maintain daily office services
- Ensures area of responsibility complies with regulations and requirements
- Develop relationships with technicians connected with office machines
- Organize office operations and procedures
- Maintain office equipment
- Create new charts, organize charts, filing in charts, and monitor charts for compliance
- Typing of letters and other correspondence
- Other duties at requested, for the benefit of the agency. Some of these other duties may be considered non-essential to the position.
