Job Summary
We are seeking a highly organized and detail-oriented Patient Care Coordinator/WIC Clerk to join our wellness team. The ideal candidate will be responsible for handling front office reception and administrative duties including greeting clients, verifying their demographics and insurance information, scheduling appointments, answering phones, and handling agency inquiries. This role involves managing patient records, coordinating appointments, verifying insurance, and supporting clinical staff with administrative tasks. Experience with electronic health record (EHR) systems and medical billing is essential to succeed in this position. The Patient Care Coordinator plays a crucial role in maintaining compliance with HIPAA regulations while delivering compassionate care coordination.
Responsibilities
- Manage patient intake, scheduling, and appointment confirmations.
- Verify insurance coverage and benefits, including Medicaid, Medicare and other third-party payers.
- Review and update patient medical records accurately while ensuring compliance with HIPAA standards.
- Assist with documentation review, CPT coding, ICD-9/10 coding, and medical billing processes.
- Facilitate communication between patients and healthcare providers via multi-line phone systems, phone etiquette, and front desk support.
- Maintain accurate documentation of patient interactions, care plans, and billing information using Microsoft Office and health information management software.
- Support clinical staff with administrative tasks such as filing, data entry (including 10 key typing), and managing office supplies.
- Ensure compliance with healthcare regulations related to medical records management and documentation review.
- Provide excellent customer service by addressing patient inquiries professionally and courteously.
- Assist with insurance verification processes to ensure timely reimbursement for services rendered.
Experience
- Prior clinic or medical office experience preferred.
- Knowledge of medical coding (ICD-9/10), CPT coding, and medical billing procedures.
- Strong understanding of HIPAA regulations related to health information management and patient privacy.
- Bilingual skills are a plus to effectively serve diverse patient populations.
- Excellent computer skills including proficiency in Microsoft Office Suite (Word, Excel).
- Demonstrated ability to handle multi-tasking in a fast-paced environment while maintaining attention to detail.
- Exceptional communication skills—both verbal and written—and professional phone etiquette are required for success in this role.
