Job Summary

We are seeking an energetic and detail-oriented Front Desk Agent to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support office management functions. Duties

  • Greet visitors and clients warmly, ensuring a positive first impression at all times
  • Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette
  • Handle incoming correspondence, emails, and inquiries with accuracy and promptness
  • Maintain organized files, perform data entry, and ensure proper filing of documents for easy retrieval
  • Support office management tasks such as calendar management, appointment scheduling, and meeting coordination
  • Utilize computer skills including Microsoft Office, Google Workspace, and other office software to prepare documents and reports
  • Assist with clerical duties such as proofreading, copying, filing, and maintaining office supplies
  • Provide customer support by addressing questions or concerns promptly and courteously
  • Perform basic bookkeeping tasks using QuickBooks or similar accounting software when necessary
  • Support administrative functions for medical or dental offices if applicable, including reception duties specific to healthcare settings

Skills

  • Proven experience in office management or administrative support roles with strong organizational skills
  • Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry tools
  • Familiarity with multi-line phone systems and phone etiquette standards
  • Bilingual abilities are highly valued to serve diverse client needs effectively
  • Strong customer service skills with a friendly demeanor and professional communication style
  • Ability to handle clerical tasks such as proofreading, filing, and calendar management accurately
  • Experience with bookkeeping software like QuickBooks or similar is a plus
  • Exceptional time management skills to prioritize tasks efficiently in a fast-paced environment
  • Personal assistant or medical/dental receptionist experience is advantageous but not required
  • Knowledge of office procedures including filing systems, proofing documents, and managing office supplies
