Job Description: POSITION DESCRIPTION COUNTY OF HAMILTON, INDIANA POSITION: Deputy Clerk/Civil DEPARTMENT: Sheriff WORK SCHEDULE: As scheduled (working up to 28 hours per week) STATUS: Part-time FLSA STATUS: Non-exempt HOURLY RATE: $19.00 per hour To perform this position successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed in this document are representative of the knowledge, skill, and/or ability required. Incumbent serves as Deputy Clerk/Civil for the Sheriff, responsible for providing clerical support to department personnel. DUTIES: Collects and processes various documents, such as court and civil process documents, including assigning/generating computer numbers, entering on computer, returning to appropriate courts, mailing copies, and preparing/providing receipts for related fees. Answers telephone and greets office visitors, including providing information and assistance, taking messages, or transferring/directing to appropriate individual or department. Performs various clerical duties as assigned/requested, such as typing, faxing reports, scanning documents, locating records on computer, and assisting department personnel. Periodically serves out-of-state civil process documents in the office to persons receiving attempted service notices. Performs related duties as assigned. I. JOB REQUIREMENTS AND DIFFICULTY OF WORK High school diploma or GED. Working knowledge of department policies and procedures and ability to apply such knowledge to a variety of interrelated tasks. Ability to type with speed and accuracy and properly operate a variety of standard office equipment, including computer, printer, telephone, fax machine, and copier. Ability to provide public access to or maintain confidentiality of department information/records according to state requirements. Ability to understand and follow oral and written instructions, and appropriately respond to constructive criticism. Ability to work alone and with others in a team environment, and maintain appropriate, respectful interrelationships with co-workers. Ability to work on several tasks at the same time, and complete assignments effectively amidst frequent distractions and interruptions. Working knowledge of standard English grammar, spelling and punctuation, and ability to effectively communicate orally and in writing with co-workers, other County departments, various law enforcement agencies, and the public, including being sensitive to professional ethics, gender, cultural diversities and disabilities. Ability to comply with all employer/department personnel policies and work rules, including, but not limited to, attendance, safety, drug-free workplace, and personal conduct. II. RESPONSIBILITY Incumbent performs standard, recurring duties according to department policies and procedures. Incumbent works closely with supervisor in determining assignments, with priorities determined primarily by service needs of the public and courts. Errors in incumbent's work are usually prevented through legally defined procedures and are detected through supervisory review. Undetected errors may result in work delays to other agencies/departments. III. PERSONAL WORK RELATIONSHIPS Incumbent maintains frequent contact with co-workers, other County departments, various law enforcement agencies, and the public for the purpose of exchanging information. Reports directly to Deputy Sheriff. IV. PHYSICAL EFFORT AND WORK ENVIRONMENT Incumbent performs duties in a standard office environment, involving sitting for long periods, sitting and walking at will, keyboarding, hearing communication, speaking clearly, reaching, lifting/carrying objects weighing less than 25 pounds, and handling/grasping/fingering objects.
