Title of the Position: Fleet Manager
Position Type: Hourly - Full-time
Reports to: Chief Administrative Officer
Job Description:
The Fleet Manager is responsible for overseeing the company’s vehicle fleet to ensure safe, reliable, and cost-effective operations. The Fleet Manager will also work closely with Craftsmen, Service Managers, and other mechanic services to ensure vehicles are properly maintained, documented, and ready for use.
Principle Duties and Responsibilities
- Has mastery our fleet management software Fleetio in order to:
- Track service history and expenses quickly and accurately
- Ensure all Monthly Vehicle Checklists are completed on time
- Monitor and follow up on issues identified in Monthly Vehicle Checklists.
- Track and schedule necessary maintenance for active vehicles in collaboration with Service Managers and Schedulers
- Coordinate and schedule repairs and upkeep for unassigned vehicles to make sure they are prepared for new employees.
- Perform basic in-house vehicle maintenance, including:
- Oil changes
- Brake inspections
- Tire inspections
- Battery replacements
- Fluid top-offs
- Any other vehicle maintenance you are comfortable handling in a clients driveway
- When necessary takes active vehicles to shops for more extensive maintenance and repairs while a Craftsman is on an extended project.
- Must be ready to respond quickly to vehicle breakdowns, accidents, lockouts, and other emergencies including during non-job hours.
- Trains new employees on maintenance procedures.
- Manage Geotab system by ensuring correct driver assignments, home addresses, and vehicle tracking devices.
- Schedules detailing for all returned vans to ensure they are prepared for a new assignment
- Monitor vehicle life cycles and recommend retirements or replacements as appropriate.Renew vehicle registrations and ensure all vehicles are up to date with inspections.
- Report accidents to insurance; document all photos and documents in Dropbox.
- Oversee intake of new vehicles, ensure proper:
- Functionality of tracking device
- Vehicle outfitting (ladder racks, partitions, bins, locks, wraps, etc.).
- Registration paperwork, insurance, and licensing
- Placement of additional key sets and Legend lock replacement cards
Qualifications:
- Proven experience in fleet management or a related field.
- Mechanical aptitude with ability to perform basic vehicle maintenance.
- Organizational and communication skills.
- Detail-oriented with a commitment to safety and compliance.
