This role is vital in supporting key HR functions and serving as the first point of contact for employees, applicants, vendors, department contacts, and citizens. Example of Duties
- Front Desk & Customer Service: Greet visitors, answer phone calls, and respond to routine inquiries regarding payroll, benefits, city policies, and procedures. Provide assistance to employees, applicants, and citizens regarding employment and risk management claims.
- Administrative Support: Manage the department's front desk, process incoming and outgoing mail, monitor office supply inventory, and process invoices for payment. Provide administrative assistance to the Director and Assistant Director as needed.
- Employment & Records Management: Complete employment verifications, prepare routine memos and letters, and gather information for public records requests. Maintain and audit personnel files, ensuring accuracy and compliance with records retention policies. Scan and digitize employee files and other HR documents.
- Payroll & Benefits Support: Audit and enter payroll system data, ensuring accuracy and compliance. Work closely with retirees to gather required documents and assist with benefits claims.
- Hiring & Background Checks: Communicate with applicants regarding background checks, monitor report status, and coordinate with providers and hiring supervisors throughout the process.
- Special Programs & Compliance: Administer the City's language testing program and ensure HR compliance with recordkeeping and policy guidelines.
- Other Duties: Perform additional tasks and projects as assigned.
Typical Qualifications
- High School Diploma or equivalent. Some college preferred.
- Two years customer service experience.
- Public sector and bilingual experience preferred.
