Join our dynamic property management team as an Accounting Assistant, where your expertise will drive the financial health and operational efficiency of our property portfolio. The Property Management Administrative Assistant provides essential administrative and accounting support to the Property Management team. This role is responsible for accounts payable, accounts receivable, management reporting, work order coordination, move-in and move-out administration, and maintaining accurate records within AppFolio property management software. The ideal candidate is detail-oriented, organized, proactive, and experienced in AppFolio and property management operations.
- Process and code vendor invoices accurately in AppFolio
- Verify invoice approvals and supporting documentation
- Prepare and process check runs and electronic payments
- Maintain vendor files, W-9s, and insurance certificates within AppFolio
- Respond to vendor inquiries and resolve billing discrepancies
- Reconcile vendor statements
Accounts Receivable
- Post tenant payments (checks, ACH, online payments) in AppFolio
- Monitor rent collections and follow up on outstanding balances
- Prepare and distribute tenant statements and notices
- Assist with collections and payment plan tracking
- Maintain accurate tenant ledger records
Management Reporting
- Assist in preparing monthly property management and ownership reports
- Generate financial reports directly from AppFolio
- Support budget tracking and variance reporting
- Maintain organized digital and property files
- Assist with year-end reporting and audit preparation
Work Order & Operations Support
- Receive, log, and track tenant maintenance requests in AppFolio
- Maintain maintenance records and vendor documentation
Move-In & Move-Out Coordination
- Prepare move-in and lease documentation in AppFolio
- Ensure receipt of security deposits, prorated rent, and required documentation prior to occupancy
- Process security deposit reconciliations in compliance with state regulations
- Prepare final tenant statements and disposition letters
Administrative Support
- Answer phones and respond to tenant, owner and vendor inquiries professionally
- Draft correspondence and notices as needed
- Maintain office supplies and general administrative organization
- Support property managers
- Strong analytical skills with the ability to perform detailed account analysis and balance sheet reconciliation efficiently.
- Excellent data entry skills with high accuracy; proficiency in math and double-entry bookkeeping is essential.
- Education & Experience:
- High school diploma required; Associate’s degree in accounting, business, or related field preferred
Skills & Competencies:
- Strong working knowledge of AppFolio including reporting, tenant ledgers, vendor management, and work order tracking
- Strong attention to detail and accuracy
- Excellent organizational and time management skills
- Professional communication skills (written and verbal)
- Knowledge of landlord-tenant procedures and compliance requirements preferred
- 2 years of property management administrative or accounting experience
- AppFolio or Similiar Experience
- Ability to handle multiple tasks simultaneously while maintaining attention to detail in a fast-paced environment. Pay: $24.00 - $30.00 per hour
