Job Summary
We are seeking a professional and organized Clinic Receptionist/Office Administrator to be the first point of contact for our patients. This role is critical to ensuring smooth clinic operations by managing phone calls, scheduling appointments, handling patient inquiries, and performing basic administrative tasks. Key Responsibilities
- Phone Management: Answer incoming calls promptly and professionally, addressing patient inquiries, scheduling appointments, and routing calls to appropriate staff.
- Appointment Scheduling: Coordinate patient appointments using scheduling software, ensuring efficient use of clinic resources and minimizing conflicts.
- Patient Inquiries: Respond to patient questions in person, via phone, or email, providing clear and accurate information while maintaining a friendly demeanor.
- Administrative Tasks: Perform basic clerical duties, such as updating patient records, processing intake forms, and managing office correspondence.
- Patient Experience: Greet patients upon arrival, verify appointments, and ensure a welcoming environment.
- Compliance: Adhere to HIPAA regulations and clinic policies to protect patient confidentiality and data security.
Required Skills and Qualifications
- Communication: Excellent verbal and written communication skills to interact with patients and staff effectively.
- Organization: Strong organizational abilities to manage multiple tasks, maintain accurate schedules, and keep records up-to-date.
- Scheduling Software: Familiarity with scheduling or electronic health record (EHR) systems (e.g., Epic, Athenahealth, or similar platforms).
- Customer Service: Proven ability to handle patient inquiries with empathy, patience, and professionalism.
- Technical Skills: Proficiency in Microsoft Office (Word, Excel, Outlook) and basic computer literacy.
- Education/Experience: High school diploma or equivalent required; previous experience as a receptionist or in a medical office preferred.
- Additional Skills (Preferred): Knowledge of medical terminology and bilingual abilities (e.g., Spanish, if applicable to your patient demographic).
Work Environment
