About the Company

Hae CPG is a Brooklyn-based supply chain consulting agency for emerging beauty and CPG brands. Since its launch in 2020, Hae CPG has collaborated with up-and-coming brands in the beauty, personal care, haircare, and consumer product spaces. Clients have included Kulfi Beauty, Crown Affair, Experiment, Ceremonia, Aavrani, WYN and more.


From product conception to the doorstep of customers – we specialize in laying down the foundation of a brand’s business and executing their ideas, so they can focus on their number one priority – growth. We support brands across all operational functionalities, including inventory planning and management, vendor correspondence, production flow management, sales operations, customer service, and DTC and B2B fulfillment. In short, we help brands make, ship, and sell their products.


Location

We are based in Brooklyn, NY. This role will be hybrid. Occasional travel may be expected.


Role Description

Hae CPG is seeking an Operations Manager to support an exciting new stage of the company and a fast-growing client roster of CPG brands.


The Operations Manager will directly support the Founder/CEO and oversee key client relationships and spearhead day-to-day supply chain and order fulfillment flows. They will collaborate with the Founder/CEO across high-level projects and work scopes with clients across DTC and B2B fulfillment, transportation and logistics, supply chain, inventory flow and allocation, vendor relationship management, product launch strategy, and customer experience. The role will also be responsible for managing the team.


You must be both a self-starter with an entrepreneurial mindset and a team player that is willing to roll up your sleeves believing that ‘no task is too big or too small. The role requires exceptional business acumen and analytical abilities, as well as excellent communication and relationship building skills. You must be flexible and quickly adaptable, as the needs of the business can quickly evolve.


Responsibilities

You will fill a pivotal role as we prepare for the next stage of the business and scale. You will work directly with our Founder CEO to support our roster of clients and Hae CPG’s key growth initiatives. Core responsibilities will include:


  • Collaborate with Hae CPG team in fostering and managing client relationships and work scopes, along with Hae CPG’s growth initiatives, and brainstorm efficiencies and automations for client process flows
  • Cultivate relationships with brand teams, vendors, retail partners, supply chain partner; ensure timely correspondence with all stakeholders
  • Oversee day-to-day operational flows of each client’s supply chain across production, retail fulfillment, e-commerce orders, logistics and warehousing, inventory, customer experience
  • Monitor software integrations across various ERP, retail, warehouse management, inventory, middleware systems to ensure smooth, accurate, and timely transmissions; troubleshoot as needed
  • Create, organize, and update client documentation and reporting, SOPs, retail and routing guidelines
  • Manage and execute client retail operations flows, including PO processing, invoicing, accounts reconciliation, inventory allocation, product updates, portal management, EDI
  • Ensure timely and accurate shipping for each client’s retail purchase orders across all retail channels and supporting platforms, including: EDI, 3PL WMS’s, Amazon Seller/Vendor Central, etc. and as per each retailer's routing guidelines
  • Generate and submit invoices for all retail orders; follow up on payment status as needed; Review and report chargebacks; investigate and dispute charges with retailers as needed
  • Owns, executes and manages reporting across sales, inventory, B2B, RTVs, EOM reconciliation, production and demand planning for key clients; Compile regular inventory valuation and sales reporting for key clients
  • Oversee relationship with and correspond with 3PL partners to ensure timely shipping and delivery of e-commerce and retail orders and oversee specialty value-added services and projects
  • Gather and update vendor pricing, quotes, order quantities; Manage and update COGS
  • Coordinate transportation and delivery of finished goods, components, shipping materials ; Ensure proper documentation and tracking of domestic and international transportation
  • Oversee client PO and production timelines, work with vendors to ensure timely completion of active POs; record and track production statuses; Coordinate with stakeholders to align supply chain activities with the demand forecast


Requirements

  • At least 4 years in retail/CPG industry, preferably within an operational function at a startup business, experience in retail fulfillment a plus
  • Strong proficiency with data, highly analytical and detail-oriented, comfortable with data formatting, manipulation and analysis
  • Proficiency in retail math a plus
  • Both a dynamic self-starter and a team player with an entrepreneurial mindset, able to self-manage and work independently without handholding
  • Detail-oriented, highly organized, and able to multi-task – must be able to keep up with multiple clients, emails, timelines, launches, purchase orders simultaneously and with accuracy and timeliness
  • The ability to blend creativity and data to strategize the best, efficient, innovative outcomes
  • An agile, resourceful problem solver that can adapt within a constantly evolving business
  • Proven ability to thrive in a fast-paced environment and adapt quickly to new circumstances without sacrificing attention to detail
  • Excellent interpersonal and communication skills and prioritizes relationship building with both internal team and clients
  • Excited about working in a startup with the ability to approach growth like an entrepreneur - this role will have freedom to innovate, and you will have significant impact on the overall growth of the business and the culture and the company
  • Competency in Microsoft platforms (Excel, Powerpoint, Word), Google platforms, project management tools and the ability to quickly master and implement new applications and systems
  • Experience working with big box, mass, specialty, boutique retailers; understands routing guides and retail order fulfillment flows
  • Experience with retail platforms (ie RetailLink, TMS, Partners Online, DSCO, CommerceHub)
  • Experience in Shopify, Quickbooks, WMS, and EDI platforms
  • Experiencing managing a team a plus
