Duties
- Greet customers warmly, answer multi-line phone systems with professionalism, and direct calls appropriately using phone etiquette.
- Manage office assistant responsibilities including scheduling appointments, handling mail, and maintaining logs.
- Perform data entry and maintain accurate filing systems both physically and digitally using tools.
- Support office management tasks such as calendar management, organizing meetings, and coordinating appointments.
- Provide customer support by addressing inquiries via phone or email promptly and courteously.
- Conduct proofreading of documents, prepare reports, and ensure all correspondence is clear and error-free.
- Maintain organized office supplies inventory and perform general clerical duties such as photocopying, scanning, and filing.
- Contribute to a positive office atmosphere by demonstrating excellent time management skills and professionalism at all times.
Qualifications
- Proven experience in an office environment or as a receptionist with strong clerical skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Familiarity with multi-line phone systems and excellent phone etiquette.
- Bilingual abilities are highly desirable to serve diverse client needs effectively.
- Strong organizational skills with the ability to multitask efficiently in a fast-paced setting.
- Proficient typing speed and data entry accuracy; proofreading skills are a plus.
- Demonstrated customer service experience with a friendly, professional demeanor.
- Knowledge of office management procedures including filing systems, calendar management, and document preparation.
