Job Summary
We are seeking a dynamic and organized Office Assistant/Receptionist to join our team! This vital role ensures the smooth operation of daily office activities, providing exceptional customer service and administrative support. The ideal candidate will be energetic, detail-oriented, and possess excellent communication skills. You will serve as the first point of contact for customers, manage office tasks efficiently, and contribute to a positive and productive work environment. Duties

  • Greet customers warmly, answer multi-line phone systems with professionalism, and direct calls appropriately using phone etiquette.
  • Manage office assistant responsibilities including scheduling appointments, handling mail, and maintaining logs.
  • Perform data entry and maintain accurate filing systems both physically and digitally using tools.
  • Support office management tasks such as calendar management, organizing meetings, and coordinating appointments.
  • Provide customer support by addressing inquiries via phone or email promptly and courteously.
  • Conduct proofreading of documents, prepare reports, and ensure all correspondence is clear and error-free.
  • Maintain organized office supplies inventory and perform general clerical duties such as photocopying, scanning, and filing.
  • Contribute to a positive office atmosphere by demonstrating excellent time management skills and professionalism at all times.

Qualifications

  • Proven experience in an office environment or as a receptionist with strong clerical skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Familiarity with multi-line phone systems and excellent phone etiquette.
  • Bilingual abilities are highly desirable to serve diverse client needs effectively.
  • Strong organizational skills with the ability to multitask efficiently in a fast-paced setting.
  • Proficient typing speed and data entry accuracy; proofreading skills are a plus.
  • Demonstrated customer service experience with a friendly, professional demeanor.
  • Knowledge of office management procedures including filing systems, calendar management, and document preparation.
