The Donor Development Administrator is a multi-faceted professional role that provides critical operational support for Habitat NWMA’s fundraising programs, ensuring accurate donor data, effective grant coordination, and donor stewardship. This role also supports front office operations and administrative coordination to ensure a welcoming and organized environment for staff, donors, and community partners.
Key Responsibilities
Fundraising, Records, and Database Management
- Maintain the integrity and accuracy of donor records within the Giveffect database or similar CRM platforms. Reconcile donation records with accounting reports monthly.
- Execute the timely processing and entry of all donations, pledges, grants, and event registrations.
- Generate personalized acknowledgment letters and tax receipts that align with funder requirements and organizational standards.
- Manage meticulously organized electronic and physical files to support internal audits and reporting.
- Ensure all mailing lists and donor reports are accurate and segmented for strategic outreach.
- Manage ongoing stewardship efforts, including handwritten thank-you notes, recognition initiatives, and follow-up communications.
- Track payments and send reminders for outstanding commitments.
Grants Administration and Compliance
- Provide administrative coordination for all grant applications and reporting under the direction of the Mission Advancement Officer.
- Collaborate across internal departments to compile program narratives, financial statements, and supporting documentation.
- Draft and update standardized organizational content, including mission descriptions and program summaries.
- Maintain a comprehensive grants calendar to ensure all proposals, reports, and renewals are submitted on time.
- Support post-award management by tracking compliance milestones and documenting impact for funder reports.
Office Administration and Front-Office Operations
- Serve as the first point of contact for the organization by greeting visitors, answering and routing phone calls, and managing all incoming/outgoing mail and deliveries.
- Manage daily office functions and general office coordination.
· Maintain the office inventory and supplies log, track shared resources like keys and equipment, and ensure the copy workspace remains organized and fully stocked.
- Provide direct scheduling and filing assistance to the Mission Advancement Officer and the broader leadership team.
· Provide administrative and scheduling support to leadership and assist in the setup of staff meetings, including preparing tech equipment and materials.
Qualifications and Requirements
- Associate’s degree or equivalent experience required; Bachelor’s degree preferred.
- 1–2 years of experience in nonprofit development, professional administration, or high-level customer service.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with donor databases or CRM systems (Give-Effect).
- Exceptional attention to detail, strong organizational skills, and the ability to manage multiple priorities.

Minimum Requirements
- Exceptional verbal and written skills with a strict adherence to AP Style and brand voice.
- High attention to detail with the ability to manage project timelines and meet strict print/mailing deadlines.
- Strong interpersonal skills and a genuine desire to work effectively with diverse populations in Cobb, Douglas, and Paulding counties.
- Valid driver’s license and a reliable personal vehicle for travel to build sites and community events.
Physical Requirements
- Prolonged periods of sitting and computer work.
- Ability to lift up to 15 pounds.
- Comfortable standing, walking, bending, and kneeling for extended periods.
- Ability to work on active construction sites, outdoors, and in various weather conditions.
Salary : $45,000 - $55,000
