Sr. Manager - Loan Operations

The Loan Operations Manager is responsible for overseeing all aspects of loan operations, including loan onboarding, funding, servicing, maintenance, payment processing, payoffs, property insurance tracking, tax escrow administration, and operational quality control. This role provides leadership and oversight to ensure accurate processing, regulatory compliance, risk mitigation, and exceptional service delivery across the loan portfolio.

The Loan Operations Manager collaborates closely with branch personnel, customers, vendors, and third-party service providers to ensure efficient loan servicing, insurance compliance, tax escrow administration, and operational excellence. This position also leads and develops a team of loan operations professionals while maintaining best practices, policies, and procedures.

Essential Functions and Responsibilities

Loan Onboarding, Funding, Maintenance & Quality Control

New Loans and Lines of Credit

  • Oversee the booking and setup of new loans and revolving lines of credit, including manual loan setups and escrow accounts.
  • Manage loan funding processes for new loans and revolving credit facilities.
  • Coordinate tax filings related to newly originated loans.
  • Review and process transactions related to funds availability and line utilization.
  • Ensure accurate data entry and loan setup within the servicing system.

Reconciliation and Review

  • Review newly booked loans and tax escrow account setups for accuracy.
  • Reconcile general ledger and loan transaction discrepancies and resolve exceptions promptly.
  • Perform quality control reviews to ensure operational accuracy and compliance.

Customer Information File (CIF) Maintenance

  • Manage quarterly CIF maintenance activities for loans and lines of credit.
  • Update loan risk ratings based on approved management decisions and recommendations.
  • Ensure customer and loan records remain accurate and current.

Past Due Monitoring

  • Monitor delinquent and past-due loan accounts.
  • Coordinate with branch personnel regarding required collection and follow-up actions.
  • Maintain appropriate reporting and escalation procedures for delinquent accounts.

Loan Payments and Payoffs

Payment Processing

  • Review and process loan payment transactions received from branches.
  • Adjust and reconcile payments received from factors on revolving credit facilities.
  • Ensure timely and accurate posting of all loan-related transactions.

Payoff Administration

  • Manage loan payoff processing and related account maintenance activities.
  • Review loan payment transactions and related system entries for accuracy.
  • Ensure proper documentation and completion of payoff transactions.

Property Insurance Management & Quality Control

Insurance Tracking

  • Oversee all property insurance tracking activities, including flood, casualty, and liability coverage.
  • Manage the relationship with insurance tracking vendors, including Lee & Mason.
  • Review insurance exception reports, notice reports, and force-placement reports and resolve outstanding issues.
  • Coordinate with borrowers and insurance agents to obtain renewed hazard and liability insurance certificates.
  • Ensure compliance with insurance requirements and regulatory guidelines.

Force-Placed Insurance Administration

  • Monitor and reduce force-placement exceptions by proactively obtaining renewal documentation.
  • Notify customers and branches prior to charging force-placed insurance premiums.
  • Process premium charges to customer accounts or loan balances as appropriate.
  • Coordinate the disbursement of premium payments to insurance tracking vendors.
  • Initiate force-placement coverage when required due to policy expiration or non-compliance.

Insurance Tracking Fees

  • Review monthly insurance tracking fee reports.
  • Verify availability of funds within designated general ledger accounts.
  • Process fee transactions and coordinate payments to vendors.

Tax Escrow Management

  • Oversee tax escrow operations and related compliance requirements.
  • Manage the Tax Escrow Officer and ensure accurate execution of tax and escrow-related activities.
  • Maintain accurate records and ensure timely payment of taxes from escrow accounts.
  • Ensure compliance with all regulatory requirements and internal policies related to tax escrow administration.

Team Leadership and Management

  • Lead, manage, mentor, and develop a team of loan operations professionals.
  • Establish performance expectations and provide ongoing coaching and support.
  • Foster a collaborative, service-oriented, and high-performance work environment.
  • Maintain and enhance operational procedures, controls, and best practices.
  • Ensure staff adherence to policies, procedures, and regulatory requirements.
  • Identify opportunities for process improvements and operational efficiencies.
Qualifications:
  • Comprehensive knowledge of loan operations, loan servicing, insurance tracking, tax escrow administration, and banking regulations.
  • Strong understanding of commercial and consumer lending operations.
  • Proficiency with loan servicing systems, including Jack Henry, and third-party insurance tracking platforms such as Lee & Mason.
  • Strong analytical, reconciliation, and problem-solving skills.
  • Exceptional attention to detail and organizational abilities.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Strong leadership, coaching, and team development capabilities.
  • Demonstrated ability to collaborate effectively with internal and external stakeholders.

Salary : $85,000 - $90,000
