Billing Specialist - Cranes

Main Responsibilities:

• Create accurate customer invoices after reviewing relevant paperwork, including contracts, purchase orders (POs), and change orders.
• Review job workups from Sales, obtain necessary information, and create invoices with the appropriate billing codes
• Prepare and maintain AIA billing documentation, including applicable payment applications and supporting schedules.
• Process approved change orders and ensure contract modifications are accurately reflected in project billing.
• Prepare, request, collect, review, and track lien waivers, lien releases, and other compliance documentation from subcontractors and vendors.
• Ensure all billings are submitted accurately and within established monthly deadlines.
• Communication with customers concerning any questions about the invoices.
• Able to handle customer invoice portals
• Communicate with project managers, subcontractors, and accounting personnel regarding billing status, documentation, and payment issues.
• Use of our Dispatch Software and Excel.
• Cross Training – Job Cost Accounts Payable; Payroll Prep

Skills / Requirements:

• Previous experience within the construction, contracting, industrial, logistics, or specialty subcontracting industries, performing billing, project accounting, accounts receivable, contract administration, or construction administration. No medical billing.
• Experience working with various enterprise software systems, with the ability to quickly learn, adapt to, and confidently navigate unfamiliar systems
• Highly organized and detail oriented
• Demonstrated customer interaction skills & experience
• Ability to coordinate and work with multiple departments within the organization, e.g., Sales, AR and Administration
• Associate Degree or equal work experience
• AR experience is a plus
