Gurwin Healthcare System is a full continuum of care providing extraordinary care and caring to the people that we serve. Set on a 36-acre campus in Commack, NY, the Gurwin Healthcare System includes the 460-bed Gurwin Jewish Nursing & Rehabilitation Center, providing short-term rehabilitation and long-term skilled nursing care, memory care, respiratory and ventilator care, palliative and hospice care, social and medical adult day programs, and on-site dialysis and infusion therapy. Sharing the campus is Gurwin’s Assisted Living community (Gurwin Jewish ~ Fay J. Lindner Residences), our independent living community (Fountaingate Gardens) and Gurwin Certified and Licensed Home Care Services Agencies.The Foundation is seeking a highly organized and detail-oriented Grants & Development Coordinator to provide administrative and operational support for grant and development activities. You will be scheduled to work Monday through Friday with some flexibility in scheduling based upon events. This role assists with the day-to-day coordination of grant processes, including tracking deadlines, maintaining documentation, and supporting reporting efforts. The position is ideal for a candidate who is organized, proactive, and eager to build experience in grant administration and project coordination. The right individual will demonstrate strong follow-through, attention to detail, and a willingness to learn and grow within the role. In addition to grant support, this position will assist with onboarding-related administrative tasks, including helping coordinate candidate materials and training logistics. This role plays an important part in maintaining organized grant records, supporting compliance efforts, and ensuring smooth internal coordination. Please note: this is a five year grant funded position.Qualifications & Skills1–3 years of administrative, development, grants, HR coordination, or related experience preferred.Strong organizational skills and attention to detail.Ability to manage multiple tasks and deadlines in a structured environment.Proficiency in Microsoft Office (Excel required).Clear written and verbal communication skills.Professional judgment and ability to maintain confidentiality.Key ResponsibilitiesGrant Administration SupportAssist in tracking grant deadlines, reporting requirements, and documentation.Maintain organized electronic grant files and records.Support preparation of reports and required materials.Help coordinate financial documentation and payment tracking with finance staff.Project & Department CoordinationMonitor timelines and help ensure required materials are submitted on schedule.Communicate with internal departments to gather information as needed.Enter and maintain accurate data related to grants and training activities.Assist in preparing summary reports for leadership.Onboarding & Training SupportAssist with organizing resumes and application materials.Assist screen trainee applicants, help coordinate interviews, administer applicant testing and communicate follow up responsibilities.Track participation and maintain related documentation.Development /Administrative Support/ Fundraising Support:Provide general administrative assistance to the Foundation team.Handle confidential information with professionalism and discretion. Accurately enter all donations and in-kind gifts into donor database (will train).Generate and mail donor acknowledgement letters in a timely manner.Assist with special events, including entering donations, sending acknowledgements, and providing on-site event support.Additional duties and responsibilities:Answer phones, take and relay messages, and greet/direct visitors.Order office supplies and maintain inventory for the department.Handle check requests and billing from initiation to completion.Benefits:· Medical Insurance (Anthem Blue Cross Blue Shield) for eligible employees, plus a family option.
