Position SummaryThe Project Coordinator supports the Project Management team by serving as the primary resource for vendor setup, customer account setup, retail item onboarding, and product data management. This position is responsible for ensuring customer and vendor portals are maintained accurately, new products are established correctly, and all documentation required for product launches is completed on time.
Working closely with Project Management, Sales, Regulatory, Creative, and Supply Chain, this role coordinates the administrative activities necessary to support new product launches and ongoing customer account maintenance. The Project Coordinator serves as the department's Vendor & Item Setup Specialist while providing day-to-day operational support to the Project Management team.
Responsibilities- Set up and maintain customer and vendor accounts across retailer, distributor, and customer portals.
- Coordinate vendor onboarding, customer registrations, and account setup requirements.
- Submit, track, and maintain new item setup requests through customer and internal systems.
- Upload and maintain accurate product information across customer portals and product information management systems.
- Assist Sales with customer onboarding documentation, forms, and account maintenance.
- Process customer requests and documentation accurately and within required timelines.
- Follow up with internal departments to obtain product specifications, regulatory information, packaging details, pricing, UPCs, and other required launch information.
- Order and coordinate product samples and sales materials for Sales, R&D, and internal departments.
- Prepare and ship samples and documents using UPS, FedEx, USPS, and other carriers.
- Prepare reports, maintain spreadsheets, and generate administrative documentation as needed.
- Maintain organized records of customer submissions, vendor documentation, and portal requirements.
- High school diploma or equivalent required; associate degree or additional coursework is a plus.
- Experience in an administrative, sales support, customer service, operations, or coordination role preferred, with an interest in building a career in Project Management within the consumer packaged goods (CPG) industry.
- Strong organizational and time management skills with the ability to manage multiple priorities simultaneously.
- Exceptional attention to detail and accuracy.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office, including Excel, Outlook, and Word.
- Experience with customer portals, vendor onboarding, retail item setup, product information management, or ERP systems preferred.
- NetSuite experience is a plus.
- Full-time hourly position, onsite.
- Valid driver's license with reliable personal transportation to deliver packages and product samples to local shipping carriers as needed.
- Ability to lift and carry up to 25 pounds.
