We’re seeking a highly organized, proactive Executive Operations Assistant to provide direct support to our Chief Operating Officer while helping drive efficiency, compliance, and financial coordination across our fast-growing national mitigation and reconstruction business.
With over 100 locations in 30 states, this role blends executive assistance with operational management. The ideal candidate thrives in dynamic environments, has exceptional attention to detail, and is confident managing banking tasks, Excel/Google Sheets data, and cross-departmental communication.
Key ResponsibilitiesExecutive Support
- Act as a trusted right-hand to the COO, helping manage daily priorities, follow-ups, and communications.
- Track key operational and financial tasks, ensuring deadlines and deliverables are met.
- Prepare and organize reports, spreadsheets, and presentations to support decision-making.
- Manage scheduling, travel coordination, and documentation for executive meetings as needed.
CRM & Operations Coordination (in collaboration with the Sales team)
- Serve as the primary contact for all JobNimbus interactions and user support.
- Maintain platform templates, user accounts, and process configurations to support field teams.
- Ensure payment and job management systems remain accurate and functional.
Banking & Financial Administration (in collaboration with Finance and Business Owners)
- Coordinate financial transactions, wire transfers, and intercompany payments.
- Monitor account balances, charges, and quarterly banking reports.
- Manage Bank of America’s CashPro platform, including user setup, permissions, and maintenance.
- Oversee vendor payments, credit card programs, and expense tracking with precision and confidentiality.
Entity & Vendor Onboarding
- Act as a project manager for new company launches, ensuring seamless setup across platforms.
- Coordinate vendor and contractor onboarding, including tax documentation and W-9 verification.
- Manage collection and filing of compliance-related documentation.
