Position Summary: The Executive Assistant will provide essential administrative and clerical support to company leadership, ensuring efficient office operations. This role will manage communication, maintain records, coordinate schedules, and assist with office organization. The ideal candidate will be highly organized, detail-oriented, and take a proactive approach to problem-solving.
Key Responsibilities:
- Managing Communication: Handle phone calls, emails, and correspondence, ensuring timely and professional responses.
- Scheduling & Calendar Management: Organize meetings, appointments, and travel arrangements.
- Assist Executives: Serve as a personal assistant to executives, handling confidential information with discretion.
- Document Preparation: Draft reports, presentations, and record meeting minutes; proofread materials for accuracy and clarity.
- Data Entry & Filing: Maintain accurate records, databases (including the company website), and company documentation.
- Office Organization: Manage office supplies, logistics, and visitor coordination. Oversee front desk operations, greeting visitors and managing incoming correspondence.
- Basic Bookkeeping: Track and pay invoices, track and categorize transactions, assist with financial documentation.
- Confidentiality & Discretion: Handle sensitive company information with professionalism and confidentiality.
- Client Relations: Gifts, cards, etc.
- Process Improvement: Identify opportunities to streamline administrative processes, enhance efficiency, and improve office management functions.
Qualifications & Skills:
- Proven experience as an Executive Assistant or in a similar administrative role.
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Excellent organizational skills with the ability to prioritize tasks effectively and multi-task as needed.
- Exceptional verbal and written communication skills.
- Experience in customer service is highly desirable.
- Experience in bookkeeping.
- Ability to work independently while also being a collaborative team player.
- Attention to detail with strong proofreading skills.
- Strong problem-solving skills and ability to work independently.
