Compensation: $46,000 to $56,000 annually, depending on experience, plus discretionary quarterly bonuses.
Guardian Tax Law is a Tucson-based tax resolution firm representing individuals and businesses before the IRS and state taxing authorities. Our attorneys handle collection matters, settlement negotiations, audit representation, and compliance work for clients across the country. We are a small team, and the work we do has a direct impact on our clients' financial lives.
The Legal Assistant keeps client cases moving. You will work alongside our attorneys to gather and organize client financial records, prepare IRS forms and correspondence, communicate with clients about what we need and where their case stands, and maintain accurate case records in our case management system.
This is a client-facing, deadline-driven role that requires fluency in both English and Spanish. A significant portion of our client base conducts their case in Spanish, and this position handles those clients directly, including intake calls, document requests, and status conversations.
All work is performed under the supervision of a licensed attorney. Legal Assistants do not provide legal advice, quote resolution outcomes, or set fees.
- Prepare, proofread, and route IRS authorization forms, including Forms 2848 (Power of Attorney) and 8821 (Tax Information Authorization), and confirm CAF processing.
- Assemble and review client financial disclosure packages, including Forms 433-A, 433-B, and 433-F, along with supporting documentation such as bank statements, pay records, expense verification, and asset documentation.
- Draft and prepare supporting documents for installment agreements, Offers in Compromise, penalty abatement requests, currently not collectible requests, and collection appeals.
- Order, review, and summarize IRS account and wage transcripts. Flag discrepancies, unfiled returns, and approaching collection deadlines for attorney review.
- Maintain complete, accurate, and current case records in the firm's case management system, including notes, deadlines, and document uploads.
- Serve as a primary point of contact for assigned clients. Return calls and messages promptly, explain what documents are needed and why, and provide status updates within the scope authorized by the supervising attorney.
- Conduct structured client intake and follow-up calls to collect financial information.
- Follow up persistently and professionally on outstanding client documentation. This is a core function of the role, not an occasional task.
- Document every client interaction in the case file.
- Track submission deadlines, response deadlines, and statutory dates. Escalate anything at risk to the supervising attorney immediately.
- Monitor incoming IRS and state notices, log them to the correct matter, and route them for attorney review the same day.
- Manage attorney calendars, schedule client calls and meetings, and coordinate coverage.
- Answer and appropriately route incoming calls.
- Maintain organized electronic filing consistent with firm standards.
- Perform other related duties as assigned.
- Fluency in English and Spanish, spoken and written, at a level sufficient to conduct client intake, explain document requirements, and handle case status conversations in either language. Fluency will be assessed during the interview process.
- High school diploma or equivalent.
- Two or more years of experience in a professional office, legal, financial services, accounting, or high-volume customer service environment.
- Excellent verbal and written communication skills, with the ability to explain requirements clearly to clients who may be stressed, frustrated, or unfamiliar with tax procedure.
- Strong organizational skills and meticulous attention to detail. Small errors on IRS forms cause real delays for clients.
- Proven ability to manage competing deadlines across a large active caseload.
- Sound judgment and absolute discretion with confidential financial and personal information.
- Proficiency with Microsoft Teams. Our team runs on Teams for chat, meetings, and file access, and it is how a remote employee stays connected to attorneys and colleagues throughout the day.
- Proficiency with Microsoft Office (Outlook, Word, Excel) and comfort learning new software quickly.
- Residence in Arizona, with the ability to travel to Tucson for in-person meetings approximately one to two times per quarter.
- Experience with IRS Logics or IRS Solutions tax resolution software. Experience with comparable platforms such as Canopy or PitBullTax is also valued.
- Prior experience at a tax resolution firm, tax preparation practice, accounting firm, or collections-focused legal practice.
- Familiarity with IRS collection procedure, including installment agreements, Offers in Compromise, liens, and levies.
- Experience with SharePoint or comparable document management systems.
- Paralegal certificate or associate degree.
- This position is primarily remote. Most work is performed from home, and our Tucson office is available to use anytime you prefer to work on-site.
