Compliance & Contracts Manager
Guardian Data LLC | S. Hackensack, NJ (Hybrid) | Reports to: EVP of Operations & Product

About Guardian Data

Guardian Data is an IT asset disposition (ITAD) and secure data destruction company serving clients nationally across multiple operating locations. We provide mobile shredding, data sanitization/erasure, data center decommissioning, IT asset remarketing, and reverse logistics. Guardian holds NAID AAA and R2v3 certifications and is scaling from ~$25M toward $50M in revenue while building the operational rigor to match that growth.

About the Role

Guardian is hiring a Compliance Manager to own the processes that keep the company audit-ready, contractually protected, and able to win and retain enterprise clients. This is a hands-on, builder role — not a policy-writing-only function. You'll manage our certification and audit posture, own contracts across the client relationship (from NDA through onboarding), and be the person enterprise clients' procurement and compliance teams work with directly. You'll report to the EVP of Operations & Product and work closely with Operations, Sales, and executive leadership.

Today, this work is split across a few people's plates without a single dedicated owner. This role exists to give Guardian a permanent, hands-on owner of compliance and contracts — someone who's done this work before and can build the system, not just administer one that already exists.

What You'll Do

  • Own certification maintenance and audit readiness — scheduling and preparing for audits, tracking corrective actions, maintaining the documentation trail auditors expect, and researching additional certifications (e.g., ISO standards) that could support the company's growth.
  • Manage contracts across the client lifecycle — NDAs, master service agreements, amendments — from drafting or review through execution and tracking.
  • Lead the compliance and contracts side of new client onboarding: NDAs, customer requirement surveys, security and compliance questionnaires, and vendor risk assessments.
  • Build and maintain a standardized compliance document library (policies, SOPs, forms) and a compliance dashboard for leadership and board-level reporting.
  • Respond to enterprise client compliance and vendor-review requests (questionnaires, desk reviews, on-site audits), coordinating internally and driving them to closure.
  • Track regulatory and contractual obligations, with a periodic-verification cadence so records stay current rather than going stale between audits.
  • Support safety compliance efforts — helping investigate incidents, track corrective actions, and maintain emergency response plans and safety reporting.
  • Help build and deliver training on compliance-related processes, partnering with internal teams on new-hire onboarding and ongoing staff development.
  • Partner with Operations and leadership to make sure compliance and contractual commitments are demonstrably met in practice, not just on paper.
  • Serve as the point of contact for certifying bodies and clients' compliance/procurement contacts, managing those relationships proactively.

What You Bring

  • 3 years of experience in compliance, contracts administration, or a related governance/risk role.
  • Direct experience preparing for or managing third-party audits — you've prepared for one, hosted one, or managed corrective actions from one.
  • Experience managing contracts, including NDAs and customer/vendor agreements, from drafting or review through execution and tracking.
  • Experience supporting client onboarding — security questionnaires, customer requirement surveys, vendor risk assessments.
  • Strong documentation skills — you can produce audit-ready policies, procedures, and evidence packets that hold up to scrutiny.
  • Comfortable owning a workstream with a lot of moving parts and building process where none exists yet; self-directed and able to prioritize.
  • Strong communication and presentation skills — comfortable representing the company to clients, auditors, and internal stakeholders, and delivering training to staff.
  • Proficient in Microsoft 365 (Word, Excel, Teams, Outlook).
  • Bachelor's degree in business, compliance, or a related field preferred; a relevant certification (e.g., Certified Compliance & Ethics Professional) is a plus.

Nice to Have

  • Experience in ITAD, electronics recycling, records/data destruction, or a related regulated industry.
  • Familiarity with NAID AAA, R2v3, e-Stewards, ISO, or similar certification frameworks.
  • Familiarity with OSHA or other operational safety/regulatory requirements.
  • Experience developing or delivering training programs.
