The Senior Facilities Specialist will accompany and assist the Manager in overseeing and implementing plans and policies that promote quality and excellence throughout the organization’s facilities.
Major Responsibilities
Two years of similar or related experience including time spent in similar or preparatory positions.
Education/Certifications/Licenses
A high school degree or GED is required. Valid Class C drivers license and acceptable driving record.
Interpersonal Skills
Courtesy, tact, and diplomacy are essential elements of the job. Work involves personal contact with others inside and/or outside the organization, generally regarding routine matters for purposes of giving and obtaining information, as well as advising or referring, which commonly require shorter discussions.
Other Skills
Work requires moderate physical exertion and occasional lifting of up to 75 lbs. While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel objects, tools, or controls; and talk or hear. The employee frequently is required to stand, walk, and reach with hands and arms. The employee is occasionally required to climb or balance and stoop, kneel, crouch, or crawl. Must be capable of regular, reliable and timely attendance.
Working Conditions
Must be able to routinely perform work indoors in climate-controlled shared work area with minimal noise, as well as outdoors in cold, wet or warm conditions.
Mental And/or Emotional Requirements
Must be able to perform job functions independently or with limited supervision and work effectively either on own or as part of a team. Must be able to read and carry out various written instructions and follow oral instructions. Must be able to speak clearly and deliver information in a logical and understandable sequence. Must be capable of dealing calmly and professionally with numerous different personalities from diverse cultures at various levels within and outside of the organization and demonstrate highest levels of customer service and discretion when dealing with the public. Must be able to perform responsibilities with composure under the stress of deadlines / requirements for extreme accuracy and quality and/or fast pace. Must be able to effectively handle multiple, simultaneous, and changing priorities. Must be capable of exercising highest level of discretion on both internal and external confidential matters.
Description
The Senior Facilities Specialist will accompany and assist the Manager in overseeing and implementing plans and policies that promote quality and excellence throughout the organization’s facilities.
Major Responsibilities
- Researches and estimates costs of facilities projects including costs for labor, equipment, and materials.
- Acts as liaison with architects, engineers, and consultants on behalf of the company in planning, construction, and renovation projects.
- Maintains a recordkeeping system documenting inventory, maintenance schedules, and any other information required by internal policy or by local, state, and federal agencies.
- Maintains an ongoing dialogue and working relationship with staff from other departments to ensure facilities needs and problems are quickly communicated, identified, and resolved.
- Assists with preparation of the yearly facilities management budget and special budgets for future building and remodeling projects.
- Coordinates, tracks, and completes help desk tickets assigned to the Facilities Team.
- Performs basic repairs, handyman work and miscellaneous jobs as needed. Performs other related duties as assigned.

- Thorough understanding of facilities planning principles, best practices, and procedures.
- Thorough understanding of local, state, and federal building codes, ordinances, and regulations.
- Basic understanding of building design, construction, and maintenance as needed to maintain or ensure maintenance of equipment, buildings, and other parts of the organization’s facilities.
- Strong communication skills.
- Basic understanding of budget creation and execution.
- Ability to prioritize multiple tasks and projects to ensure each is completed correctly and in a timely manner.
