Primary Job Title:AP Customer Service AnalystAlternate/Related Job Titles:Accounts Payable AnalystExpense Reimbursement SpecialistAP Customer Support RepresentativeLocation:Fairfax, VAOnsite Flexibility:Hybrid (1–2 times per month onsite after training; training onsite 1 week)Contract Details:Position Type: ContractContract Duration: Approximately 6 months (with potential extension to 1 year or longer)Start: As Soon As PossibleShift/Hours: 40 hours/weekOnsite Schedule:Training: 1 week onsite, Mon–Fri, 8:00 AM–4:30 PMAfter Training: Mostly remote until Jan 31, 2025; onsite as needed (ICPH)Local candidates requiredJob SummaryThe AP Customer Service Analyst supports the Accounts Payable Travel & Expense (T&E) function by auditing employee reimbursements, resolving customer inquiries, and ensuring compliance with corporate and IRS policies. This role requires strong customer service, attention to detail, and the ability to handle confidential information while working across multiple systems including Oracle and AP shared resources.Key ResponsibilitiesExpense ReimbursementsAudit employee expense reimbursements according to T&E and IRS policies.Communicate with employees and approving managers regarding stranded or incomplete expenses.Customer ServiceRespond to inquiries and complaints in a timely, courteous, and professional manner.Work across various AP systems and services, including:Supplier SetupT&E Module1099/1042S processing datesAP WorkflowCheck formats and payment schedulesReconcile vendor statements monthly and maintain tracking.Perform other duties as needed due to emergencies, workload shifts, or technology changes.Required ExperienceHigh School Diploma/GED.Minimum 2 years of experience in Accounts Payable with a focus on Travel & Expense reimbursement.Nice-to-Have ExperienceExperience with Oracle Expense module and Oracle Payables Invoices.Exposure to AP shared drives, vendor statement inboxes, and T&E policy interpretation.Required SkillsStrong customer service skills.Excellent written, verbal, and interpersonal communication abilities.Attention to detail and accuracy.Preferred SkillsAbility to manage sensitive and confidential information.Deadline-driven work habits.Technical proficiency in Outlook, shared drives, AP systems, and email inbox management.Additional SkillsAbility to meet time-sensitive deadlines.Strong organizational and multitasking capabilities.Comfort working with vendor statements and AP customer service channels.BenefitsMedical, Vision, and Dental Insurance Plans401k Retirement FundAbout the CompanyA leading non-profit healthcare provider in Northern Virginia delivering world-class care to more than two million patients annually.
