Responsibilities
- Greet visitors, clients, and staff with professionalism and warmth at the front desk, managing multi-line phone systems with confidence.
- Handle incoming calls using proper phone etiquette, directing inquiries to appropriate departments or personnel.
- Perform data entry, filing, and document proofreading to maintain accurate records and ensure information is up-to-date.
- Support office management tasks such as supply inventory, basic bookkeeping with QuickBooks, and organizing files for easy retrieval.
- Assist with clerical duties including copying, scanning, mailing, and preparing correspondence or reports.
- Provide customer support by addressing inquiries promptly and professionally, ensuring a positive experience for all visitors and callers.
Requirements
- Proven office experience or administrative background demonstrating strong organizational skills and multitasking abilities.
- Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and basic data entry skills.
- Experience with multi-line phone systems, phone etiquette, and front desk operations.
- Knowledge of office management procedures such as filing systems, calendar management, proofreading documents, and record keeping.
- Excellent time management skills with the ability to prioritize tasks efficiently in a busy environment.
- Previous experience in a truck shop or dispatch position.
