What are the responsibilities and job description for the Successor to Director of Back Office (HRD) position at GSM - Green SM?
Green SM is a leading electric vehicle (EV) and sustainable mobility solutions provider headquartered in Vietnam, with operations across international markets including the United States. Join us in driving the future of sustainable mobility.
We are looking for a high-potential leader to be groomed as the Successor to the Director of Back Office (BO) in the US market. This individual will work closely alongside the current Director to learn the strategy, organizational structure, and operations of the Back Office function (Recruitment, Training, HR, and Admin), with the goal of eventually assuming full ownership of the role
This is a unique opportunity for a strategic thinker with strong organizational and people-leadership experience to step into a senior leadership pipeline — gaining hands-on exposure to an established Back Office operation while being mentored to lead through others rather than execute hands-on
Key ResponsibilitieS
1. Strategic Learning & Co-Leadership
- Partner closely with the Director of BO to understand and help refine the ongoing Back Office strategy for the US market, aligned with business objectives
- Progressively take ownership of organizational structure, operating model, and workforce planning across HR, Recruitment, Training, and Admin functions
- Support prioritization, resource allocation, and budget planning
2. Team Building & People Leadership
- Work alongside the Director to lead, coach, and develop local managers/team leads (HR Manager, Recruitment Lead, Admin Lead, etc.)
- Gradually take on direct oversight of local managers, ensuring they can execute independently and effectively
- Help sustain a performance-driven culture, set goals, and oversee KPIs at a strategic level
3. Policy Framework & Governance
- Support the review, development, and approval of HR policies, recruitment processes, training programs, and administrative procedures — ensuring compliance with local law and alignment with Group standards
- Assist in maintaining reporting mechanisms, internal controls, and risk governance across the Back Office function
- Help ensure systems (payroll, HRIS, administrative/financial processes) continue to run effectively and are improved where needed
4. Strategic Liaison with Head Office
- Act as a key point of contact representing Back Office in strategic discussions with Head Office in Vietnam and relevant vertical departments, initially alongside the Director and eventually independently
- Help ensure the local Back Office strategy stays aligned with overall Group direction
- Provide regular updates to senior leadership on team performance, risks, and strategic recommendations
5. Operational Performance Oversigh
- Track macro-level performance indicators (headcount, operating costs, compliance levels, local team performance)
- Support process improvement and automation initiatives
- Contribute to adjusting the organizational model as business needs evolve
6. Succession Readiness
- Actively engage in a structured transition plan to build the knowledge, relationships, and leadership capability required to fully assume the Director role
- Demonstrate readiness to independently lead the Back Office function within an agreed transition timeline
Qualifications & Skills
- Bachelor's degree in Business Administration, Human Resources, Finance, or a related field; Master's degree preferred
- 6-8 years of experience in Back Office/HR/Operations management, including experience managing through mid-level managers rather than in a hands-on execution role
- Strong organizational leadership experience; exposure to building or scaling teams is a plus
- Systems-level thinking, strong big-picture judgment, and data-driven decision-making
- Ability to lead through influence, with a demonstrated capacity to build and develop a bench of capable local managers
- Openness to working closely under an experienced Director in a mentorship/succession arrangement
- Experience working with a multinational Head Office/Group, balancing global standardization with local adaptation is a plus
- Excellent communication skills, comfortable engaging and reporting to senior leadership
