Real Estate Team Administrative Assistant
Position Overview
We are a high-performing, fast-paced real estate team seeking an organized, reliable, and proactive Administrative Assistant to support daily operations and transaction flow. This role is critical to keeping listings, contracts, and client experience running smoothly. The ideal candidate is detail-oriented, professional, and comfortable managing multiple priorities in a deadline-driven environment.
This is a hands-on support role that directly impacts the success of the team and the experience of our clients.
Key Responsibilities
Transaction & Listing Support
Manage listings from pre-listing through closing, including MLS input, documentation, timelines, and compliance
Keep Track of all transactions both listings and sales
Keep Track of all inspections and CO are done and closings are on track .
Track contract deadlines and ensure all files are complete, accurate, and compliant
Prepare and maintain transaction files in accordance with New Jersey real estate regulations
Listing Launch & Vendor Coordination
Coordinate professional photo sessions for new listings, including photographers, videographers, floor plans, and scheduling with sellers
Manage listing timelines to ensure all launch components are completed on schedule
Administrative & Operations Support
Maintain organized digital files and CRM records
Manage calendars, reminders, and task follow-ups for the team
Prepare listing packets, buyer packets, and marketing materials
Support day-to-day operations to keep the team efficient and organized
Client & Agent Support
Serve as the professional first point of contact for clients, vendors, and partners
Communicate clearly with attorneys, lenders, title companies, and clients
Qualifications & Skills
Previous administrative experience required; real estate experience strongly preferred
Familiarity with MLS systems, contracts, and real estate timelines is a plus
Proficiency with Google Workspace, Microsoft Office, and CRM systems
Strong organizational skills and attention to detail
Excellent written and verbal communication skills
Ability to manage multiple tasks independently and meet deadlines

- Salary & Bonus -$50k-100K Annual
New Jersey real estate license preferred but not required.
Pay: $50, $100,000.00 per year
