This is a Part-Time Licensed Administrative Assistant role with strong emphasis on Customer Service and Client Management.
You will serve as an extension of the Mary Clark brand — interacting directly with clients, prospects, and leads while ensuring consistent communication, thoughtful follow-up, and operational excellence.

We serve clients during one of the most important financial decisions of their lives. Your role is to help ensure every interaction feels polished, attentive, and seamless.
Primary Responsibilities
Client & Prospect Engagement
- Interact confidently with clients, prospects, and incoming leads
- Set up, host and close down open houses and represent the Mary Clark Team with professionalism and enthusiasm
- Engage with open house guests to provide exceptional customer service
- Identify potential client needs and introduce next steps appropriately
- Create a welcoming, elevated guest experience at all in-person events
Lead & Account Management
- Capture and log client and prospect details accurately in CRM (BoldTrail)
- Perform consistent follow-up with leads to nurture relationships
- Execute follow-up campaigns via email, phone, and text
- Set appointments for buyer consultations, listing appointments, and property tours
- Track communication history and ensure no opportunity falls through the cracks
Administrative & CRM Operations
- Maintain organized client records and communication logs
- Support listing preparation and marketing coordination
- Draft and send professional follow-up correspondence
- Manage shared calendars and appointment scheduling
- Assist with transaction coordination as needed
Technology & Systems Proficiency
You must be comfortable operating in a tech-forward real estate environment and proficient in:
- Apple based technology
- Apple Mail
- Google Workspace (Docs, Sheets, Drive, Calendar)
- Dropbox
- Pages
- Excel / Numbers
- Mailchimp
- DocuSign
- CRM platforms, specifically BoldTrail
The ideal candidate is adaptable, quick to learn, and enthusiastic about adopting new technologies and AI-enhanced systems that improve workflow and client experience.
Qualifications
- Active California Real Estate License (Required)
- Minimum 3 years of Sales, Customer Service, Client Management, Internal or Outside Sales experience
- Proven ability to build rapport and maintain professional client relationships
- Strong follow-through and organizational skills
- Confident communicator — both written and verbal
- Comfortable initiating conversations and guiding prospects toward next steps
- Detail-oriented with the ability to manage multiple tasks simultaneously
Compensation
Hourly compensation commensurate with experience
