Grunley is looking for a personable, proactive, solutions-oriented Front Desk Assistant that will play a vital role and serve as the company’s first point of contact with clients, subcontractors, vendors, employees, and the general public and as such provides a critical public relations service. The Front Desk Assistant is responsible for answering all incoming phone calls, referring to inquiries, greeting visitors, receiving, and dispatching parcels and providing general clerical support. This position regularly exercises independent judgment within defined administrative and security protocols. The Front Desk Assistant sets the first and last impression of the company, building trust through consistent professionalism, anticipation of needs, and calm confidence under pressure.
This position reports to the Director of Administration.
The weekly work schedule will be from 7:45 am – 5:00 pm, Monday – Friday with an hour Lunch, a 15-minute morning break and a 15-minute afternoon break. Front Desk Assistant must provide advanced notice for any unforeseen absences and delays no later than 6:00 am the day of to plan for front desk coverage accordingly.

Requirements
Required Experience:
- Must have a minimum of two (2) years of Receptionist/Front Desk or customer service experience. Must be proficient in Microsoft Office (Outlook, Excel, and Word), copiers and printers, and multi-line phone systems.
- Excellent interpersonal and communication skills.
- Strong organizational abilities and attention to detail.
- Ability to manage time, prioritize effectively and meet deadlines.
- Must be a U.S. Citizen.
- Construction experience and/or working in a corporate environment is highly preferred.
Greeting Visitors/Employees:
- Be attentive and welcome all visitors and employees; determine the nature and purpose of their visit and assist in the sign-in process for a smooth check-in experience; review all meeting room calendars to plan for visitor arrival; follow set Security procedures.
- Warmly answer, screen, and transfer all phone calls timely and accurately; understand each department's role and responsibilities to successfully get the caller to the relevant individuals or departments; take accurate messages when required and ensure they reach the intended recipients in a timely manner; check voicemail regularly; respond to public inquiries or concerns with respect, discretion, and confidentiality.
- Receive all incoming and outgoing mail; open, review, sort, and date stamp all USPS, FedEx, UPS and courier deliveries; notify department liaisons about incoming packages for pick up; and help manage field mail for incoming and outgoing packages to numerous jobsites. Review incoming faxes and disperse to relevant individuals or departments.
- Assist with scanning, naming and digitalizing files, assist the Director of Administration in gathering credit card charges monthly; assist in setting up meetings and events as needed; assist in collecting and analyzing data, updating spreadsheets, and preparing documents in support of projects and archiving; follow Bid Day procedures and communicate to administrative staff any bid day specific instructions given by the Estimating Department.
- Keep the reception area clean, organized, and well-maintained; stock and maintain office supplies at desk; report any maintenance and repairs concerns to the Director of Administration.
- Attend assigned in-house and external training programs
- All other duties as assigned
