We are building a portfolio of fast-growing, AI-powered and globally scaled commerce, operations, and industrial technology businesses. As we continue to expand, we're looking for a world-class Executive Administrative Assistant to support the Founder/CEO directly across a broad range of strategic, operational, and administrative responsibilities.
This is a high-visibility, high-trust role for someone who operates with impeccable judgment, thrives in a fast-paced environment, and takes pride in enabling a CEO and leadership team to perform at the highest level. The ideal candidate is based in Dallas and able to work in-person with me on a daily basis.
Key Responsibilities
Executive Support & Prioritization
- Serve as the primary point of contact and right hand to the CEO across multiple businesses.
- Manage a dynamic and constantly evolving calendar with precision, prioritizing meetings, travel, and strategic commitments.
- Anticipate needs, resolve issues before they arise, and ensure the CEO’s time is always optimized for highest-value initiatives.
Communication & Coordination
- Draft, proof, and manage executive communications—emails, memos, internal updates, partner correspondence.
- Coordinate meetings, agendas, follow-ups, and ensure accountability across internal and external stakeholders.
- Represent the CEO and the organization with professionalism, discretion, and a high level of emotional intelligence.
Operational Excellence
- Support key business initiatives across e-commerce, supply chain, finance, partnerships, and global operations.
- Create dashboards, track deliverables, maintain documentation, and help keep leadership aligned on priorities.
- Assist with special projects, and cross-functional coordination.
Logistics & Personal Productivity
- Manage travel itineraries, bookings, local and international schedules.
- Support occasional personal logistics to ensure the CEO can remain fully focused on mission-critical initiatives.
- Protect the CEO’s time and attention by acting as a gatekeeper and problem-solver.
Qualifications
- 3–7 years experience supporting a Founder/CEO, C-Suite, or senior executive in a fast-paced environment.
- Exceptional communication skills—concise, polished, and comfortable communicating at all levels.
- Highly organized, proactive, resourceful, and able to work independently with minimal direction.
- Strong judgment, discretion, and maturity handling confidential information.
- Comfortable working in a high-performance culture with shifting priorities and demanding timelines.
- Proficient with modern tools: Google Workspace, Microsoft Office, Slack, project management platforms, etc.
- Must be based in Dallas and able to work in person M-F.
