This individual takes on several key responsibilities within the school and has the ability to be flexible and nimble with shifting priorities, uses extreme discretion, and has meticulous record-keeping skills. They will manage the calendar for the Founder and Executive Director, Chief Financial Officer, Chief Academic Officer, and the Chief Operating Officer - and support special projects that require advanced project management skills. Thus, this individual is a problem solver with excellent time management, strong writing skills, and prioritization skills, who is a passionate self-motivator, genuinely enjoys children, and will be soulfully engaged in the work.

Key Responsibilities
Administration Assistance:
- Manage the Executive Director’s calendar: scheduling check-ins, leadership meetings, meetings with politicians and community members, lawyers, and various other outside vendors
- Take detailed notes at all meetings the Executive Director attends and send to all parties involved, and create and edit first drafts of emails on behalf of the Executive Director
- Manage the Executive Director’s workload, including sorting external and internal communication, prioritizing issues, giving reminders, organizing documentation and materials, and ensuring all pending tasks are completed in a timely manner
- Write and distribute informational one-sheets (for both internal and external purposes)
- Serve as the main point of contact for Board members and onboard new Board members, and assist with scheduling and organizing site visits for Board Members and external parties
- Provide direct support to the Executive Director prior to monthly Board Meetings; including but not limited to: distributing meeting reminders, agendas, and meeting materials, taking and distributing minutes at board meetings, and scheduling meetings outside of regular BoT meeting hours (committee meetings)
- Act as a gateway/liaison between leadership and the Executive Director, participate in committees (e.g., Core Values), drafting and running meetings (e.g., committee meetings) and miscellaneous graphic design and art-related projects
- Create strategic documentation and timelines for various projects that the Executive Director manages
- Manage projects and submit applications through the NYSED Portal
- Instrumental in the application process for our high school expansion
- Charter Renewal support for applicable stakeholders
- Support the Chief Operating Officer (COO), Chief Academic Officer (CAO), and Chief Financial Officer (CFO) with administrative duties, including:
- Scheduling their weekly calendars for the upcoming week
- Coordinating Zoom and in-person meetings
- Attending meetings as needed to take notes
- Supporting with special projects and assignments as needed (ie. slide deck for a meeting, logistical tasks, etc.)
- Work in-person five (5) days per week
- Primary work location will be Jamaica Middle School three days per week, LIC Middle School one day per week, and at LIC Elementary School one day per week
- Role reports directly to the ED, with mid-year and end-of-year evaluations conducted by the ED, with input from the COO, CAO, and CFO. Any of the mentioned individuals may provide specific job performance-related feedback as it applies
- Salary Range of $60,00 - $70,000
- Bachelor’s Degree preferred
- Administrative or Operations experience preferred
- NYC DOE/Fingerprinting & Background Clearance
Salary : $6,000 - $70,000
