Role Overview

The Operations Associate will serve as a key operational and administrative partner to Grove Partners’ Founder & CEO while also supporting broader internal operations and client-facing work across the firm. This role is ideal for a highly organized, proactive, detail-oriented early-career professional who thrives in fast-paced environments and enjoys balancing logistics, research, communications, and project coordination.


The Operations Associate will play an important role in keeping Grove’s day-to-day operations running smoothly—supporting executive scheduling and logistics, coordinating meetings and travel, assisting with internal initiatives and convenings, and contributing to client projects through research, writing, and communications support.


This is a position for someone with a bachelor’s degree who is eager to gain exposure to strategic communications, public affairs, business operations, and high-level client engagement.


Key Responsibilities:

Executive & Administrative Support

  • Serve as an executive assistant to the Founder & CEO, managing scheduling, calendars, meeting coordination, and day-to-day administrative support.
  • Coordinate internal and external meetings, including preparing agendas, briefing materials, notes, and follow-up action items.
  • Manage travel logistics including flights, hotels, transportation, restaurant reservations, and itineraries.
  • Track priorities, deadlines, and action items to help ensure smooth execution across multiple workstreams.
  • Handle confidential information with professionalism, discretion, and sound judgment.
  • Assist with expense tracking, invoice organization, and other operational administrative needs as appropriate.


Internal Operations & Special Projects

  • Support internal Grove initiatives and operational workstreams across the firm.
  • Conduct research on emerging tools, technologies, AI platforms, software, and operational systems that could support firm growth and efficiency.
  • Assist with internal programming, team convenings, offsites, and company events.
  • Help maintain internal organizational systems, processes, and documentation.
  • Coordinate logistics for internal meetings, presentations, and collaborative sessions.
  • Support special projects and strategic initiatives led by senior leadership.


Client & Campaign Support

  • Assist with planning and logistics for client meetings, events, and presentations.
  • Coordinate travel, accommodations, meeting spaces, and scheduling for client engagements.
  • Conduct background research, policy research, and stakeholder research to support client campaigns and strategic initiatives.
  • Support the development of written materials including briefing documents, memos, presentations, research summaries, and client correspondence.
  • Assist senior team members with day-to-day project coordination and campaign execution.
  • Help monitor media, policy, and industry developments relevant to client work.


Required Qualifications

  • Bachelor’s degree required.
  • Exceptional organizational skills and attention to detail.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities simultaneously in a fast-paced environment.
  • Strong problem-solving skills and ability to operate proactively and independently.
  • Professionalism, discretion, and sound judgment when handling sensitive information.
  • Proficiency in Google Workspace, Microsoft Office, and standard workplace productivity tools.
  • Willingness to support both administrative and strategic workstreams as needed.


Preferred Qualifications

  • Internship or professional experience in communications, public affairs, government, politics, consulting, startups, nonprofits, higher education, or related fields.
  • Experience coordinating events, meetings, or travel logistics.
  • Strong research and writing capabilities.
  • Interest in strategic communications, operations, public affairs, emerging technologies, or campaign-style work environments.
  • Familiarity with AI tools, productivity software, or project management systems is a plus.
