Job Summary
The position of Office Administrator consists of performing various tasks including accounting tasks, tracking and maintaining inventory, managing agendas and meetings, supporting the administrative staff, answering phones, managing mail, tracking and receiving orders, copying, filing and visitor log monitoring.
Key Responsibilities
- Day-to-day administrative function in order to support staff and production capabilities.
- Answering phones, emails and business correspondence.
- Greet visitors and ensure compliance with visit log requirements.
- Open, sort and manage incoming and outgoing mail/packages.
- Order and track inventory on products and supplies needed for production.
- Manage staff schedules and organize meetings including business luncheons.
- Performing general accounting tasks: invoices, statements, records, deposits;
- Writing, entering data and distributing memos, correspondence and routine reports as required.
- Adhere to the IATF16949 requirements by ensuring that inventory of materials meets the production build schedule per customer requirements
- Ensure compliance to ISO14001 and Hazardous Communication Policy including proper handling, storage and preparation of shipments of Hazardous Waste based on the EPA’s RCRA standard and DOT Hazardous Materials standard.
- Schedule Hazardous Waste pick up, compactor exchange, and recycling pick up.
- Comply with provisions of the OSHA Regulations and take every precaution reasonable in the circumstances for the protection of the employees.
- Other duties as assigned.
Qualifications
- Education
- Minimum Required: Minimum grade 12 education or equivalent is required.
- Preferred: Continued education is materials management or inventory control is a plus.
- One to three years of experience in inventory tracking or management.
- Familiarity with IATF16949, ISO14001 Requirements, EPA-RCRA standard and OSHA Requirements is preferred but will train.
- Preferred: Epicor experience a plus.
- Intermediate skills in Microsoft Office.
- Must be team oriented and have excellent communication, organizational, and basic computer skills.
- Must have and maintain a valid Driver’s License.
Working Conditions
The following working conditions are present or expected on a daily basis:
- Manufacturing/production floor environment and administrative assignments.
- Continuous exposure to industrial manufacturing, automotive vehicles, industrial equipment and weather elements.
- Must comply with all Company policies, procedures and work instructions.
- Personal Protective Equipment must be worn at all times while on the production floor.
