Job Summary
We are seeking a dedicated and professional Front Desk Receptionist to join our team. The ideal candidate will be the first point of contact for patients and visitors, ensuring a welcoming atmosphere while efficiently managing administrative tasks. This role requires a strong understanding of patient service, medical scheduling, and health information management, particularly in a healthcare setting.
Responsibilities
- Greet patients and visitors warmly and assist them with check-in and check-out processes.
- Manage incoming phone calls using multi-line phone systems, directing calls to appropriate staff members.
- Answers incoming calls and screens before transferring, takes messages for techs. and pulls chart for reference, prepares referral/consult forms for schedulers, and verifies pts. appts.
- Checks voice mail regularly for messages, and pulls charts for nurse/tech calls.
- Schedule patient appointments effectively, ensuring optimal use of time slots while adhering to HIPAA regulations.
- Maintain accurate patient records and files, including handling sensitive information in compliance with HIPAA guidelines.
- Utilize electronic health record systems for managing patient information and scheduling.
- Assist with insurance verification processes, including Medicare inquiries and documentation.
- Performs general pt. admission.
- Collects surgery fees for self pay surgery pts.
- Support the medical staff by coordinating communications and relaying messages promptly.
- Triage calls from pts. requesting an appointment.
- Schedules for new and established returning pts.
- Cancels appointments, reschedules appts. due to chgs. in Physician schedules, calls pts. that missed their appts. to reschedule, moves pts. appts. as needed.
- Checks out patients, and adds “Recall” or “Order” as needed, schedules the recalls or orders when pts. check out, prepares charts for after hours pts.
- Follows up on overnight messages from pts. needing appts.
- Ensure the front desk area is organized and presentable at all times.
Requirements
- High school diploma or equivalent; additional certification in medical office administration is a plus.
- Proven experience in a front desk or receptionist role, preferably in a healthcare environment.
- One to three (1-3) years experience in the medical office field preferred.
- Past experience in the medical office setting with knowledge of medical office procedures, surgical procedures and some insurance procedures preferred.
- Demonstrates excellent interpersonal skills in dealing with the public required
- Demonstrates excellent telephone etiquette required.
- Must develop knowledge of ophthalmology terminology.
- Demonstrates proficient computer skills required.
- Demonstrates good written and oral communication skills required.
- Ability to interact effectively with Administration, Physicians, and staff at all levels.
- Appropriate CPR optional.
- Strong organizational skills with the ability to manage multiple tasks efficiently.
- Excellent communication skills, both verbal and written, with a focus on patient service excellence.
- Proficiency in using computer systems for scheduling and health information management; experience with Epic is advantageous.
- Ability to maintain confidentiality and comply with HIPAA regulations at all times.
- Strong typing skills and familiarity with various office equipment.
