Position Overview:
We are seeking a highly organized, proactive, and resourceful Office Manager to oversee the day-to-day administrative, operational, and financial functions of multiple small businesses under one ownership. This role requires exceptional multitasking skills, strong business acumen, and the ability to streamline processes across diverse industries. The Office Manager will serve as a key of contact between the owner, staff, vendors, and clients, ensuring smooth operations and consistent communication.
Key Responsibilities:
- Administrative Oversight: Manage office operations for multiple business entities, including scheduling, correspondence, and record-keeping.
- Financial Coordination: Oversee accounts payable/receivable, expense tracking, invoicing, and budget monitoring; collaborate with accountants for accurate reporting.
- Staff Support & Coordination: Assist with hiring, onboarding, scheduling, and performance tracking; maintain a positive and productive work environment.
- Vendor & Client Relations: Negotiate contracts, manage vendor relationships, and ensure client satisfaction through timely communication and service delivery.
- Process Improvement: Identify inefficiencies and implement systems to improve workflow, productivity, and cost-effectiveness across all businesses.
- Owner Support: Provide regular operational updates, prepare reports, and assist with special projects as directed by the owner.
- Compliance & Documentation: Maintain business licenses, insurance policies, and compliance with relevant regulations.
Qualifications:
- Proven experience as an Office Manager, Operations Manager, or similar role, preferably managing multiple business units.
- Strong organizational, problem-solving, and decision-making skills.
- Proficiency in office software (Microsoft Office, Google Workspace, QuickBooks or similar).
- Excellent communication and interpersonal skills.
- Ability to work independently, prioritize tasks, and adapt to shifting priorities.
- High level of integrity, discretion, and professionalism.
Pay: $55,000.00 - $65,000.00 per year
