Position Summary
Grizzly MEP is seeking a polished, professional, and highly organized Leadership Operations Coordinator to support the CEO and executive leadership team. This role focuses on executive-level coordination, office administration, presentation development, meeting and travel logistics, and operational support across the organization. The ideal candidate is resourceful, detail-oriented, and proactive, comfortable managing multiple priorities and interacting professionally with executives, employees, customers, vendors, and external partners. Ideal for someone a few years out of college eager to grow within a dynamic organization.
Key Responsibilities
Executive & Leadership Support
• Support the Grizzly CEO with scheduling meetings, arranging travel, and day-to-day executive coordination
• Coordinate travel arrangements, itineraries, accommodations, and logistics
• Assist with preparation of leadership meetings, board meetings, conferences, and company events
• Prepare meeting agendas, supporting documentation, and track follow-up action items
• Handle confidential information with professionalism and discretion
Administrative & Operational Support
• Administrative support with filings, execution of legal documents, and regulatory interaction
• Logistical planning of leadership conferences, board meetings, and related events
• Coordinate signatures and maintain organized electronic and physical filing systems
• Manage incoming requests and prioritization of administrative workflow for leadership
Office Administration
• Interaction with property management regarding building access, new employees, and office needs
• Ordering of office, breakroom, and copier supplies
• Coordinate onboarding logistics including badges, workspace setup, and office access
Presentation & Communication Support
• Presentation preparation, proficient with MS Office Suite (Word, Excel, PowerPoint, Teams, Outlook)
• Prepare executive presentations, reports, spreadsheets, dashboards, and leadership materials
• Create polished PowerPoint decks for executive leadership and board presentations
• Maintain and analyze data using Excel; assist with internal communications via Teams and Outlook
Event & Logistics Coordination
• Coordinate conferences, company meetings, offsite events, venues, catering, and travel
• Support employee engagement and company culture initiatives
Qualifications
• Bachelor’s degree preferred; 3–5 years minimum of administrative, operations, or business support experience
• Strong proficiency with Microsoft Office Suite, particularly PowerPoint and Excel
• Excellent organizational, communication, time management, and interpersonal skills
• High attention to detail; ability to manage multiple priorities with discretion
• Self-starter with a proactive, solutions-oriented mindset
• Comfortable working directly with senior leadership; strong business acumen
