Position Summary:
The Unit Coordinator / Unit Writer is responsible for reviewing, interpreting, and accurately documenting completed field work for customer billing. This position serves as a key link between field operations and the billing team, ensuring work performed is properly captured, supported by required documentation, and translated into the appropriate customer-specific billing units. The Unit Coordinator works closely with field leadership, operations, billing, and other internal teams to resolve discrepancies, maintain accurate records, and support timely and accurate invoicing. This is a hybrid position, with a mix between being in office and working remotely.

What You'll Do:
- Review daily and weekly field documentation, work orders, job packets, timesheets, and other supporting documentation to identify completed work.
- Accurately write and assign customer-specific billing units based on work performed, contracts, rate sheets, unit sheets, and established billing requirements.
- Ensure all completed work is properly captured and accounted for prior to submission to billing.
- Verify quantities, units, materials, equipment, and other billable items against supporting field documentation.
- Review unit documentation for accuracy, completeness, and compliance with customer requirements.
- Identify missing, inconsistent, or questionable information and coordinate with field supervision or operations to obtain clarification.
- Maintain organized and accurate records supporting billed units and completed work.
- Track outstanding units, missing documentation, and unresolved discrepancies to prevent delays in customer billing.
- Communicate regularly with Billing Coordinators, Billing Managers, Project Managers, General Foremen, and other operational personnel regarding unit status and billing requirements.
- Assist with reconciliation between work completed in the field and work submitted for billing.
- Monitor deadlines and prioritize unit preparation to support weekly and monthly billing cycles.
- Become familiar with customer contracts, unit descriptions, rate structures, and billing requirements for assigned customers or business units.
- Assist in identifying opportunities to improve the accuracy, consistency, and efficiency of the unit-writing process.
- Maintain confidentiality and accuracy when handling customer, employee, and company information.
- Perform additional administrative and operational duties as assigned.
What You'll Bring:
- High school diploma or equivalent required; additional education or relevant industry experience preferred.
- Previous experience in utilities, construction, billing, operations, work management, or a related field preferred.
- Ability to read and interpret work orders, field documentation, contracts, unit sheets, and rate schedules.
- Strong attention to detail and commitment to accuracy.
- Strong organizational and time-management skills.
- Ability to manage multiple jobs, customers, and deadlines simultaneously.
- Strong written and verbal communication skills.
- Ability to identify discrepancies and independently follow through until issues are resolved.

- Proficiency with Microsoft Excel, Outlook, and other business systems; experience with utility or construction management software is a plus.
