Position Overview:
The HR Specialist is responsible for accurately and efficiently managing the company’s payroll process. This role ensures timely and correct payment to all employees, in full compliance with applicable regulations. Additionally, the Payroll Specialist manages related tasks such as reporting and deductions, while maintaining strict confidentiality of employee records as well supporting the HR department as needed.
Key Responsibilities:
- Payroll Processing: Ensure timely and accurate processing of payroll for all employees, including calculating wages, overtime, bonuses, commissions, and deductions.
- Compliance Management: Ensure payroll is compliant with federal, state, and local tax laws and labor regulations, including staying updated on any changes.
- Record Maintenance: Maintaining accurate and confidential payroll records, including personal and financial data, time cards and records of earnings, tax deductions, and leave balances.
- Problem Resolution: Address and resolve payroll discrepancies or employee questions about paychecks, taxes, or deductions in a timely manner.
- Payroll Systems Management: Manage payroll software system (Paycom), troubleshoot issues, and make recommendations for improvements.
- Reporting and Auditing: Prepare regular payroll reports, perform internal audits, and ensure data accuracy for accounting and budgeting purposes.
- Benefit Programs: Administer employee benefit programs (medical, dental, vision, life, etc.). Manage employee deductions related to health benefits, retirement plans, garnishments, and other withholdings.
- Time Off Reporting: Reconcile employee time off requests with timecards.
- Time Entry: Ensure all employees have time cards submitted weekly and follow up with employees for accuracy when required.
- Assist with ACA Reporting.
- Additional Human Resource tasks as needed.
What we need you to have:
- High school diploma or equivalent required
- Excellent Microsoft skills
- Proficiency in payroll software (e.g. Acumatica, Paycom)
- Excellent attention to detail and organizational skills
- Ability to work accurately under tight deadlines
- Positive attitude and strong communication skills
- Ability to work independently, prioritize, and meet deadlines
- 2 years of payroll experience
What we’d love you to have:
- Associate or bachelor’s degree in business administration, accounting, or related field
- Certified Payroll Professional (CPP) designation
- Experience with multi-state payroll processing
- Familiarity with accounting software and financial reporting
