Our facility offers a wide range of programs including skilled nursing, rehabilitation, assisted living, and home health services, supported by a team committed to excellence and compassionate care.
We are seeking a highly organized and proactive Executive Assistant to support our Executive Director. The ideal candidate will possess exceptional administrative skills, demonstrate strong attention to detail, and excel in managing complex schedules and communications. This position will be responsible for overseeing front desk.
Executive Support
- Manage complex calendars, scheduling, and daily priorities for the CEO and executive team.
- Coordinate meetings, prepare agendas, and support board-related activities
- Handle correspondence, communications, and confidential information with discretion
- Arrange travel logistics, including accommodations and transportation
- Serve as a liaison between executives, internal teams, and external partners
- Assist department heads with supply ordering and corporate credit card oversight
Administrative & Organizational Support
- Maintain filing systems, databases, and office records
- Provide general administrative support (documents, spreadsheets, reporting, etc.)
- Oversee reception operations and ensure a professional front-office experience
- Coordinate communication flow and prioritize executive initiatives
Operational Excellence
- Ensure alignment with Greenwood House policies, procedures, and regulatory requirements (including HIPAA)
- Participate in meetings, training, and continuous improvement initiatives
- Support special projects and organizational priorities as needed
Qualifications
- Proven experience as an executive assistant or personal assistant within a professional office environment.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)..
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced setting.
- Demonstrated experience in event planning, project coordination, and office management.
- Exceptional typing speed combined with proofreading and transcription skills for accurate document preparation.
- Knowledge of office procedures such as filing systems, multi-line phone systems, and DocuSign for electronic signatures.
- Outstanding communication skills with a focus on professionalism and customer service excellence.
