Position Overview
The Litigation Support Specialist: Case & Vendor Management Coordinator serves as a critical operational resource supporting both Case Management and Vendor Management functions. This role is responsible for managing incoming case status communications, coordinating updates from process servers, supporting case managers with administrative and operational tasks, and assisting with vendor relationship management and network support activities.
The ideal candidate is a proactive problem solver who can effectively balance multiple priorities while maintaining accurate records, providing exceptional service, and ensuring cases continue progressing efficiently through the service process.
Key Responsibilities
Case Management Support
· Monitor and manage incoming communications within the Status mailbox
· Review, process, and document case status updates accurately and timely
· Update case records and maintain accurate data within company systems
· Support Case Managers with case-related administrative and operational tasks
· Monitor pending actions and follow-up requirements to help ensure timely case progression
· Coordinate communications between clients, vendors, court personnel, and internal team members
· Assist with electronic filing activities and related documentation as needed
· Support skip tracing and other location services when required
· Ensure case documentation is complete and properly maintained
Vendor Management Support
· Serve as a point of contact for vendor communications and routine inquiries
· Maintain accurate vendor profiles, contact information, service areas, and capabilities
· Support vendor onboarding activities, including document collection and compliance tracking
· Assist in identifying and addressing vendor coverage gaps
· Track vendor performance issues, service delays, and escalations
· Help foster positive working relationships with vendors while maintaining accountability and service expectations
· Maintain accurate vendor records and pricing information
Client Service & Operations
· Respond professionally and timely to client inquiries regarding case status and service activity
· Assist in resolving operational issues and escalating concerns when necessary
· Support reporting, quality control, and data management initiatives
· Communicate status updates clearly and accurately to internal and external stakeholders
· Help identify workflow improvements to enhance efficiency and service quality
Quality & Compliance
· Ensure all case and vendor records are accurate, complete, and up to date
· Follow client requirements and internal operational procedures
· Support quality assurance efforts related to case handling and vendor management
· Assist with audits, reporting requests, and documentation reviews as needed
Required Qualifications
· 2 years of experience in an administrative, operations, customer service, legal support, or case coordination role
· Strong organizational and time management skills
· Excellent written and verbal communication abilities
· High attention to detail and accuracy
· Ability to manage multiple priorities in a deadline-driven environment
· Strong problem-solving skills and follow-through
· Proficiency in Microsoft Office Suite, including Outlook, Word, and Excel
· High School Diploma or equivalent
Preferred Qualifications
· Experience in legal services, service of process, collections, foreclosure, vendor coordination, or related industries
· Familiarity with case management systems, CRM platforms, or workflow management tools
· Experience with electronic filing, skip tracing, or records management
· Associate's or Bachelor's degree, or equivalent professional experience
Reporting Structure
This position reports to the Director of Operations and works closely with the Case Management and Vendor Management teams to ensure efficient service delivery, strong client support, and successful operational outcomes.
A successful Litigation Support Specialist: Case & Vendor Management Coordinator will:

Pay: $19.00 - $20.00 per hour
