Position summary
The Office Manager is the hub of our office and a key point of contact for homeowners, team members, trade partners, and vendors. This role blends front-office management, homeowner and sales coordination across our South Carolina and Washington divisions, HOA administration, and HR and benefits onboarding support. You will keep operations consistent, communication timely, and the office welcoming, while supporting company events and culture.
What you will do
Office and events
- Greet and welcome visitors with professionalism and warmth, and direct concerns to the right department for resolution.
- Help organize company events, including quarterly meetings, leadership retreats, the family BBQ, trade partner appreciation, company training events, and OASIS club events and trainings.
- Manage Greencity apparel and merchandise, monitoring availability and reordering as needed.
- Order office supplies and snacks and keep the office well stocked and presentable.
- Serve as an in-house notary.
Homeowner and sales coordination (SC and WA divisions)
- Schedule upcoming homeowner orientations and keep external customers well informed as units approach closing, including VWP, fee-build clients, brokers, and buyers.
- Provide status updates on pending units, send weekly closing reminders to the team, and confirm completion of items with the onsite closer.
- Enter the inspection answered list into the template, send reminders, and return within 24 hours.
- Keep Monday.com current with pricing, listing links, and sales status, and update Buildertrend with upgrades and additions from mutual agreement emails, adding due dates for scheduling.
- Confirm washer and dryer inclusion per unit, send homeowner announcements, and administer online sales by monitoring website chat and responding to inquiries.
HOA and legal administration
- Maintain a deep working knowledge of the HOA process and handle HOA administration and management for both the SC and WA divisions.
- Support HOA formation by collecting outstanding paperwork, and provide post-formation customer service to buyers with HOA questions.
- Assist with collecting water bill dues.
HR and benefits onboarding
- Assist with onboarding and offboarding team members and prepare welcome packages for new hires.
- Support benefits onboarding and communication across Beam, CIS, Employee Navigator, and AIMM.
- Conduct background checks, driving record checks, and reference checks for potential candidates, and contact previous employers as part of the hiring process.
What success looks like
You will be accountable for timely team-member onboarding, timely and professional internet and customer communication, office appeal, strong customer service, well-prepared company events, timely benefits administration, and cost control.
What we are looking for
- Proven office management, administrative, or coordinator experience, ideally in homebuilding, real estate, or construction.
- Excellent organization and multitasking skills, with strong attention to detail and follow-through.
- Warm, professional communication, both written and in person, with homeowners, team members, trade partners, and vendors.
- Comfort with systems such as Monday.com, Buildertrend, and Employee Navigator, and the ability to learn new tools quickly.
- Discretion and reliability when handling confidential information, including background and reference checks.
- A current Washington notary commission, or willingness to obtain one.
- Working knowledge of HOA administration is a strong plus.
Schedule and location
Full-time, in-office position based at our Mukilteo, WA office, supporting both the Washington and South Carolina divisions.
