We are seeking a detail-oriented and highly organized Large Loss Administrator (LLA) to support our Commercial Project team. As an LLA, you will be responsible for compiling, validating, and organizing all documentation related to ongoing restoration projects. You will play a key role in ensuring that project data is accurate, complete, and properly submitted for billing and reporting.
This role requires a proactive individual with strong administrative skills, exceptional attention to detail, excellent communication abilities, and the capacity to perform well under pressure in a fast-paced environment.
Key Responsibilities
Collect and review daily project documents including labor logs, equipment/consumables usage, subcontractor invoices, and other expenses.
Scan, organize, and digitally file all project-related paperwork.
Input data into Time and Materials (T&M) software accurately and consistently.
Ensure daily documentation of operational activities and expenditures is complete and submitted on time.
Compile and audit all documentation including:
DryBook™ moisture mapping
T&M logs
Photos, videos, and contents inventory
Third-party reports and vendor data
Collaborate closely with the Project Coordinator and Project Manager to ensure the accuracy of final invoices.
Assist with compiling project financials for invoicing and reporting purposes.
Qualifications & Skills
Strong attention to detail and organizational abilities
Proficiency in Microsoft Office (Word, Excel, Outlook)
Excellent communication skills—written and verbal
Ability to review and validate detailed project documentation
Strong problem-solving skills and a proactive mindset
Comfortable working independently or with a team
Previous administrative or clerical experience preferred (experience in construction or restoration is a plus)
Must have reliable transportation.
A valid driver’s license and a clean driving record are required.
Must maintain a clean driving record throughout employment, as occasional travel to NJ, PA, and DE offices is required.
Employment is contingent upon successfully passing a background check and drug screening, in accordance with applicable laws.
Working Conditions
Fast-paced, deadline-driven office environment
Standard Monday–Friday schedule (8-hour shifts), with overtime as needed
Occasional on-site visits required (project locations may include NJ, PA, and DE)
Prolonged sitting (90%), with occasional standing and walking as required
