The Events Intern sees behind the scenes in the planning, organizing, and executing the Garden’s internal and fundraising events. The Events Intern ensures seamless event execution by reviewing paperwork, overseeing vendor setup and breakdown, and maintaining compliance with Garden policies. Providing excellent customer service, they serve as the main point of contact for clients, vendors, and caterers. Additionally, they are responsible for securing the property post-event and completing necessary reports. This role requires strong organizational skills, attention to detail, and the ability to adapt in a fast-paced environment.


Core Competencies & Essential Functions

  1. Gain hands-on experience in planning, organizing, and executing the Garden’s internal events, including special fundraising initiatives.
  2. Assist with event logistics, including mailings, signage, reservations, donation solicitations, inventory management, and hospitality coordination for entertainment.
  3. Provide exceptional customer service by effectively engaging with clients, vendors, caterers, and event planners to ensure a seamless experience.
  4. Review and interpret event paperwork in advance to facilitate smooth execution.
  5. Oversee events to ensure safety, efficiency, and adherence to Garden policies.
  6. Ensure all event setups align with contracts, incorporating last-minute adjustments to meet client expectations.
  7. Supervise vendor load-in and load-out, ensuring proper setup, breakdown, and cleanup.
  8. Enforce Garden policies for clients, vendors, and caterers, conduct post-event inspections and reporting any damages to Event Coordinators.
  9. Complete event documentation, including incident reports, while addressing any vendor, guest, or facility-related issues.
  10. Guide visitors to the correct locations upon arrival at Garden events.
  11. Secure the property after after-hours events by locking buildings, setting alarms, shutting off power, and locking gates.
  12. Perform bartending or bar restocking duties if assigned.
  13. Perform additional duties as assigned.
