Duties
- Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette
- Operate multi-line phone systems efficiently, handling inquiries and routing calls accurately
- Perform data entry, maintain filing systems, and organize documents with precision
- Utilize Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools for correspondence, scheduling, and record keeping
- Assist with calendar management and appointment scheduling for staff and executives
- Support bookkeeping activities using QuickBooks or similar accounting software
- Provide customer support by addressing inquiries promptly and professionally, ensuring positive interactions
- Conduct proofreading of documents to ensure accuracy and clarity before distribution
- Handle clerical tasks such as copying, scanning, mailing, and inventory management
- Maintain office supplies inventory and coordinate procurement as needed
Skills
- Proven experience in office management or administrative support roles with strong organizational skills
- Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
- Familiarity with QuickBooks or other bookkeeping software is highly desirable
- Excellent phone etiquette with experience managing multi-line phone systems
