Job Summary:
The Sponsorship Coordinator supports GEDP’s growing corporate partnership program by managing the day-to-day fulfillment, activation, and stewardship of sponsor relationships across the organization’s events, programs, and initiatives. Reporting to the Manager of Sponsorship Sales, this role is the operational backbone of GEDP’s sponsorship function, ensuring every sponsor benefit is delivered, every partner feels valued, and every renewal conversation is supported by strong documentation and relationship history. This position works across GEDP’s Marketing & Communications and Special Events teams.
Job Duties & Responsibilities:
Sponsorship Fulfillment & Activation
- Maintain a comprehensive sponsorship fulfillment tracker for all active partnerships across GEDP’s events and programs, ensuring every contracted benefit is delivered on time and as promised.
- Serve as the on-site sponsor liaison at GEDP events, providing day-of support, hospitality, and relationship management for corporate partners.
- Coordinate sponsor logistics including signage placement, VIP arrangements, booth setup, speaking opportunities, and other contractual deliverables.
- Produce post-event sponsor recap reports, incorporating attendance figures, social media reach, earned media, photography, and other relevant metrics
- Help capture sponsor-forward content during events, including social media posts, photography, and behind-the-scenes coverage, in coordination with the Marketing & Communications team.
Sales & Pipeline Support
- Assist the Manager of Sponsorship Sales with prospect research, proposal preparation, and development of sponsorship sales materials.
- Maintain accurate and up-to-date records in GEDP’s CRM or donor management system, tracking sponsor status, communication history, and renewal timelines.
- Coordinate internal logistics when new sponsors are onboarded, ensuring a smooth handoff from sale to activation.
- Provide data, recap reports, and relationship notes to support the Manager of Sponsorship Sales in renewal and upgrade conversations.
Marketing Integration
- Work with the Manager of Marketing & Communications to ensure sponsors are accurately and prominently recognized across GEDP’s social media, email newsletters, website, and event promotional materials.
- Identify and surface opportunities for enhanced sponsor visibility that align with partner goals and GEDP brand standards.
- Assist with development of sponsor-specific marketing content as needed.
Special Events Support
- Provide operational support at GEDP signature events — including PA Bacon Fest, Easton Criterium, Easton Winter Village, Heritage Day, and others — with primary responsibility for sponsor-related logistics and activation.
- Collaborate with the Special Events team during event planning, contributing sponsor-related timelines, communications, and checklists.
- Assist with volunteer coordination, vendor communication, and general event logistics as capacity allows.
Reporting & Administration
- Support the Manager of Sponsorship Sales in tracking and reporting sponsorship program metrics, including fulfillment completion, renewal rates, and revenue data.
- Assist in maintaining GEDP’s sponsorship program materials, templates, and benefit packages.
- Work with the Finance Team on all sponsorship related finance needs, including sponsor billing information, monthly reviews of accounts receivable reports, and assisting with collections efforts.
- Support fundraising and development efforts as needed.

Knowledge, Skills and Abilities Required:
- Bachelor’s degree in marketing, communications, event management, nonprofit management, or a related field, or equivalent professional experience.
- Minimum of 1–2 years of experience in event coordination, marketing, sponsorship support, nonprofit development, or a related role.
- Strong organizational skills and meticulous attention to detail; able to track multiple active commitments simultaneously.
- Clear, professional written and verbal communication skills.
- Proficiency with Microsoft Office Suite; comfort with social media platforms and digital marketing tools.
- Availability and willingness to work evenings and weekends for GEDP events.
- Enthusiasm for Easton and alignment with GEDP’s community development mission.
- Preferred: Experience in sponsorship activation, event marketing, or nonprofit fundraising support; familiarity with CRM software; experience with event photography, social media content creation, or tools such as Canva; knowledge of the Easton/Lehigh Valley community.
