Accounts Receivable Coordinator

About the Role

We are a commercial mechanical contractor seeking a detail-oriented Accounts Receivable Coordinator to join our Accounting team. This role is open to candidates ranging from entry-level to experienced professionals, and will be responsible for managing customer invoicing, payment collections, and account reconciliations to ensure accurate and timely cash flow for the organization.

Key Responsibilities

• Generate and issue monthly billings to customers accurately and on schedule
• Monitor accounts receivable aging and follow up on outstanding balances
• Reconcile customer accounts and resolve billing discrepancies or disputes
• Communicate with customers regarding overdue payments in a professional manner
• Maintain accurate and organized records of invoices, payments, and correspondence
• Assist with month-end close activities related to accounts receivable
• Collaborate with core operating departments to resolve billing issues
• Support internal and external audits by providing requested documentation

Qualifications

Required:

• High school diploma or equivalent; Associate's or Bachelor's degree in Accounting, Finance, or related field a plus
• 0–3 years of experience in accounts receivable, billing, or general accounting (entry-level candidates welcome to apply)
• Strong attention to detail and accuracy in data entry and calculations
• Basic understanding of accounting principles and AR processes
• Proficiency in Microsoft Excel (basic formulas, sorting/filtering)
• Good written and verbal communication skills
• Ability to manage multiple tasks and meet deadlines

Preferred:

• Experience with accounting software (e.g., QuickBooks, NetSuite, SAP, Sage, or similar ERP systems)
• Prior experience in collections or customer account management
• Familiarity with reconciling large volumes of transactions
